Site Support Administrator/Receptionist required for our client based in Waterford. The primary responsibility of this role is to provide support and assistance to the site by handling cross functional administrative duties and for overseeing purchasing activities ensuring that procurement processes are carried out in compliance with company policy. Key Responsibilities and End Results: Raising purchase requisitions for various departments and maintain continuous purchase order integrity on Coupa Responsible for timely payment requisitions and ensuring purchase orders are reconciled for payment Liaise with centralized payments function to ensure timely payments. Sourcing ad hoc suppliers and quotation requests as required Assist in booking travel/accommodation in line with company travel policies and manage hospitality requests. Notify/Locate Point of Contact for Visitors/Candidates and adhere to visitor protocol. Complete inductions with visitors and contractors as required and follow through on work completion reports Manage the switchboard and handle incoming calls, emails and post efficiently H.R. Administration including support on recruitment administration Setting up new hires on the clocking machine, creating badges, manage access control and badge issue/return Manage lockers for new hires and leavers, maintaining up to date records Support EHS and facilities administration. Support creating documents/SOPs Keep and maintain clear records to comply with company internal and external audit standards. Support all company safety and quality programs and initiatives. Ensure ongoing compliance with GMP in all practices, recording of events and processes Ensure compliance with all learning from all GMP training events Other responsibilities may be assigned from time to time as needed based on the evolution of the company and the requirements of the department / position. Job Specifications: Have a minimum of 5 years experience in a similar role and / or a business administration qualification Experience using ERP systems highly desirable Experience in purchasing and procurement processes highly desirable Skills and Attributes: Proficient in Microsoft Office applications essential Excellent written and spoken English, strong communicator Highly Professional and Confidential Excellent attention to detail Ability to multi-task and prioritise.
