Key Responsibilities:
1. Manage documentation records for projects in compliance with all quality and regulatory requirements
2. Use software and electronic documentation systems to upload external documents to EDMS
3. Check documents for compliance with project requirements, issuances of documents, update registers, and manage all incoming & outgoing documents
4. Ensure all relevant documentation is registered/maintained in the electronic Document Management System
5. Ensure adherence to the company's document control procedures and quality system
6. Provide administrative support to Design and Projects departments
7. Awareness & understanding of applicable company procedures
8. Project filing/document handover process
9. Project filing/archiving process
10. Copy, scan, and store documents
11. Review and update technical documents (e.g. manuals and workflows)
12. Distribute project-related copies to internal teams
13. File documents
14. Create templates for future use
15. Retrieve files as requested by employees and clients
16. Manage the flow of documentation within the organization
17. Maintain confidentiality around sensitive information and terms of agreement
18. Prepare ad-hoc reports on projects as needed
19. Assist on projects as and when required including minute taking and providing administrative support as required
PERSON SPECIFICATION:
1. 2 plus years Document Control experience within regulated industries
2. Experience with document management
3. Proficiency in MS Office
4. Ability to understand technical concepts and work with technical departments and personnel to achieve goals
5. Well organized, self-motivated, with excellent interpersonal and communication skills
6. Experience with the Common Data Environment (CDE) and software such as BIM 360, Procore, Datascope is an advantage.
