Job Overview
The Personal Assistant (PA) will provide high-level administrative and organizational support to the Management Team at BioAtlantis. The role demands discretion, efficiency, and exceptional communication skills to ensure the seamless management of schedules, correspondence, and daily operations.
Key Responsibilities
Administrative Support
1. Manage and maintain executive schedules, appointments, and meetings.
2. Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries.
3. Organize and maintain electronic and physical filing systems.
Meeting Coordination
1. Schedule and coordinate meetings, including agenda preparation and minute-taking.
2. Act as a liaison between the executive team and internal/external stakeholders.
3. Ensure all meeting materials and logistics are prepared in advance.
Communication Management
1. Handle incoming and outgoing communications, including emails, calls, and letters.
2. Screen and prioritize communications, ensuring timely responses.
3. Draft and proofread correspondence on behalf of executives.
Project Support
1. Track project timelines and deliverables to ensure deadlines are met.
2. Perform personal errands and ad-hoc tasks as requested.
3. Maintain confidentiality of sensitive information at all times.
4. Proactively identify opportunities to improve administrative processes.
Requirements
Education and Experience
1. Bachelor’s degree in Business Administration, Communications, or a related field preferred.
2. Minimum of 3 years of experience as a Personal Assistant, Executive Assistant, or similar role.
3. Experience in a corporate or fast-paced environment is a plus.
Skills and Competencies
1. Exceptional organizational and time-management skills.
2. Strong written and verbal communication abilities.
3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with scheduling tools.
