We are recruiting a full time Receptionist to join an organisation that provides professional counselling and therapy services to individuals and couples.
This centre is committed to the provision of counselling (mental health service) and confidential support to individuals and groups, in the context of holistic care to address personal, social, and spiritual needs, enabling wholeness, well-being, healing, and self-reliance.
The aim is to foster an environment that promotes accessible and affordable counselling which is person-centred.
The Receptionist will work on a week-to-week basis; hours are from 9am – 5pm Monday to Friday.
Rate: €16.50ph
Duties will include:
1. Being the point of contact by phone, email, etc., for initial queries and responding in a professional and welcoming manner, taking a record of all calls.
2. Answering and assisting clients, visitors, and counsellors at the front door and back entrance to the centre, organising teas, coffees, transport, directions, etc.
3. Effective and efficient diary management for Counsellors of the centre as required.
4. Providing direct support in arranging meetings with clients as and when required.
5. Attending meetings and recording meeting minutes when required.
6. Preparing documents as and when required, which may require formatting and proofreading.
7. Registering management or staff for attendance at conferences, training sessions, etc.
8. Sending out information in relation to the centre.
9. Providing secretarial support to the Executive Director/Management team when required.
10. Maintaining databases and filing systems, ensuring all records are accurately maintained and stored in a safe and confidential manner.
11. Ordering stationery and other supplies when needed.
12. Setting up rooms for workshops.
13. Other ad hoc duties.
14. Candidates applying must be available on an ongoing basis.
Requirements:
1. Min 3 years experience working in an office environment, ideally on Reception.
2. Experience working in a medical environment would be useful.
3. Excellent telephone manner.
4. Good computer skills.
5. High attention to detail.
6. Planning and organisational skills.
7. Multi-tasker.
8. Good administration skills.
9. Must be discrete.
10. Ability to meet deadlines.
11. Rate: €16.50ph, 35hr week.
