Key Responsibilities
* Assist in procurement by creating and processing purchase requisitions via our internal log, ensuring timely communication with suppliers and coordination of delivery schedules.
* Issue purchase orders to suppliers and process receipts through our system accurately and efficiently, managing queries from our AP team and reconciling supplier accounts.
* Coordinate shipments and site goods dispatch with couriers and freight forwarders as needed.
* Process incoming goods, reporting any discrepancies promptly.
* Review order acknowledgments and confirmations with attention to detail, generating Non-Conformance Material Reports (NCMRs) to suppliers when necessary.
Administrative Support
* Manage office supplies, organize documents, and handle correspondence.
* Collaborate with departments to ensure timely procurement and administration tasks align with business objectives.
* Support our ERP system by assisting with its use and implementation.
* Participate in inventory management and stock control to ensure availability of necessary materials.
* Schedule meetings, events, and travel arrangements as required.
Requirements
* Previous experience in a similar administrative role, preferably within a manufacturing or procurement environment.
* Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
* Excellent organizational skills, attention to detail, and ability to multitask.
* Strong communication skills and ability to work effectively within a team.
* Problem-solving abilities and proactive approach to tasks.
* Understanding of procurement processes and inventory management essential.
