APC are looking for a highly organised and proactive Site Document Controller to join our team. In this key role, you will be responsible for managing, organising, and maintaining project documentation and administrative tasks to ensure efficient and compliant document control processes. You will play an essential role in supporting the project team by ensuring that all documentation is accurate, up-to-date, and easily accessible for stakeholders. This role is crucial to ensuring smooth operations for on-site document management while maintaining compliance with relevant standards.
This role will be initially based at our Head Office in Limerick but will be based onsite at Tarbert Power Station thereafter.
Key Responsibilities:
Document Management Support:
- Organise and maintain the site's documentation management system (InEight Document), including both physical and electronic files.
- Ensure that all project documents, such as drawings, specifications, reports, and correspondence, are accurately filed, stored, and indexed for easy retrieval.
- Track document versions to ensure updates are properly managed and communicated to the relevant team members.
Coordination & Distribution:
- Assist in distributing project documentation to internal teams, contractors, and suppliers, ensuring the timely and accurate communication of changes, revisions, and updates.
- Coordinate the approval, issuance, and tracking of documents to relevant stakeholders, including project managers, engineers, and subcontractors.
Administrative Support:
- Provide administrative support to the Document Control Manager and site team, including scheduling meetings, preparing reports, and updating project progress logs.
- Manage document requests from the site team and external parties, ensuring documents are retrieved promptly when needed.
- Maintain and monitor document control databases, ensuring the accuracy and consistency of records.
Compliance & Quality Control:
- Ensure all documents comply with project-specific standards, company procedures, and regulatory requirements.
- Assist in preparing documentation for audits and reviews, ensuring the document control process meets industry best practices.
Communication & Liaison:
- Act as the main liaison between the project teams, the Document Control Manager, and other stakeholders to ensure smooth documentation flow.
- Assist in preparing presentations, reports, and other materials for meetings with project teams or clients.
General Site Support:
- Provide on-site support for various administrative tasks as required.
- Maintain and update a comprehensive filing system for all documentation related to the project site.
Key Qualifications & Skills:
- Experience with document control in a construction or engineering project environment.
- Experience with InEight software or similar document control software.
- Knowledge of relevant regulations, standards, and industry practices related to document control.
Do you have?
- Strong understanding of document control systems, processes, and best practices.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Strong attention to detail and accuracy in managing documentation.
- Good communication skills, both written and verbal, with the ability to liaise with multiple stakeholders.
- Ability to work efficiently in a fast-paced, site-based environment.
- Proactive attitude with the ability to take initiative and work independently when required.
