Executive AssistantFull-time, based in Dublin (hybrid, minimum of 2 days per week in office)9 Month FTC - Covering maternity leaveWe are looking for an experienced Executive Assistant to help support the Chief Commercial Officer within one of our brands (Betfair) in the Flutter UKI division. This role will see you deliver and coordinate an exceptionally high level of support for our busy CCO who travels extensively and has a very busy diary and multiple stakeholders, both internal and external.What you’ll doYou will be responsible for undertaking extensive diary management, prioritising workload accordingly as well as inbox management, taking action where appropriateProvide light touch support for up to 2 members of the CCO’s leadership teamYou will coordinate travel and accommodation, including the booking of relevant tickets/hotels and preparing relevant itineraries (our office locations are in Ireland, the UK, Romania, Malta, Portugal, Brazil, Georgia, India, the USA, Canada, and Australia), this will include visas, entry permits, etc.You will ensure our CCO is prepared for all meetings, Participating in, and taking minutes of a range of business meetings and following up on action points where necessaryAssist in the arrangements of offsite meetings and team events (planning, logistics, agenda crafting) Book and prepare meeting rooms and organize catering for lunch meetingsEnsure you manage expense claims and invoices/POs in a timely manner and approve workplace system requests on behalf of the CCOComplete ad hoc projects and duties that may be required from time to time (such as brand-led internal and external events)Be contactable out of hours on rare occasions and maintain a very high level of confidence and discretionHow you’ll do it: You will have the ability to remain calm under pressure and juggle multiple tasks.Be flexible and able to pivot from one task to another speedily and confidently – ours is a dynamic business where priorities change quickly.You will demonstrate experience of building rapport quickly and easily in this role, as you will be liaising with the Divisional Leadership Team and wider business stakeholders on a daily basis.Relish the opportunity to work in a fast-paced environment with very tight and frequently changing deadlines as well as having a keen eye for detail.You are required to be able to multitask and work as a team player, consistently delivering high quality levels of services.
