The Role The role is located on site in St. Vincent's University Hospital in Dublin 4.
The role involves managing a team of service representatives.
The operation of the Hospital is 7 days per week, 365 days per year and as a result of that the Supervisor will need to work some weekends and Public holidays as required.
The Supervisor will have full responsibility for staff and activities of the site which are covered under the contract and will liaise closely with senior Hospital Management and Procurement departments.
This is very much a hands-on role with significant record keeping and organisation skills required.
Responsibilities include (but not limited to): Managing a team of service representatives and ensuring the smooth delivery of all Elis services and activities across the site.
Develop and manage the shift roster to ensure all activities are carried out at the required intervals and enough cover is in place. Managing payroll approval for the service representatives weekly and ensuring hours are strictly controlled within the allocated budget.
Explaining any variances and who is liable for the costs. Ensuring all training within the team has been completed and is kept up to date (e.g Manual Handling, Trolley Procedures, Fire, Health & Safety, Hygiene and Infection control requirements etc).
Performance Management of the team and ensuring any issues are addressed with the HR Department through the company procedures. Develop the stock system and PAR levels on site to ensure sufficient cover available whilst also ensuring no under / over stocking of items.
Reviewing data and trends and amending orders based on these.
Placing of orders and requirements for the site through the online ordering app.
Liaising with production and distribution functions on the relevant site when issues arise to find a solution, so the customer is not impacted. Preparation of daily, weekly, and monthly reports for both the Hospital and Elis.
Building a relationship with the customer on site to ensure that all service issues are dealt with in a timely and efficient manner and logged / closed out on the company tablet / stock system.
Administrative account management in relation to account set up, pricelists management, and approval of queries in relation to credit requests.
Placing of purchase orders in relation to any consumables, agency staff etc.
Constant review of activities on the site to ensure best practices and lean principles are in place.
Carry out any other reasonable tasks assigned by the Hospital or Elis.
Experience and Skills: 2-3 Years' experience within a people / facilities management role.
Excellent interpersonal and communication skills with the ability to establish and maintain good working relationships at all levels in the business and with the Customer.
Ability to handle pressure and high volume of work at peak periods.
Attention to detail extremely important.
Good time management skills required.
Good organisation skills and ability to multitask and prioritise tasks as required.
Advanced computer skills including proficiency in Microsoft Office suite (Excel, Word, PowerPoint, E-Mail, Pivot Tables etc).
Good business understanding and commercial skills.
