Job Objectives
The role of Operations Administrator is to contribute to the daily Operations within our Mental Health Services. This role requires a proactive approach to providing comprehensive administrative support to the Management Team and relevant departmental functions.
This Will Include The Following On a Day-to-day Basis
* Supporting people with their daily plan.
* The Operations Administrator will provide administrative support to the Chief Operating Officer extending to entire department as directed.
* Maintain appropriate records and compile reports in relation to Mental Health Community Residences and Approved Centres.
* Attend all required meetings, take and distribute meeting minutes to all relevant recipients.
* Responsible for ensuring that the standard reporting procedure is followed at all times.
* Ensuring all policies relating to the centres are reviewed and updated regularly, as required.
* Update internal control documentation.
* Partake in Quality Improvement Projects with the area of Mental Health Services.
* Create and maintain central file of all enquiries.
* Maintain up-to-date records retained in IT systems.
* Dealing with all correspondence, email, calls, reporting etc.
* Complex diary management where requested.
* Coordinating centre meetings inclusive of both agenda and meeting minutes.
Skills Requirement
Knowledge
* Knowledge of standards and legislation relevant to the area.
* Extensive knowledge and understanding of technology required to complete the role.
* Excellent knowledge of the process surrounding safeguarding procedures.
Experience
* Experience of engaging with external agencies (MHC, HSE, Tusla etc.)
* Previous experience in a similar role.
Skills
* Strong leadership and people management skills.
* Excellent organisational skills / self-motivated / self-starter.
* Excellent verbal, written communication, and IT skills.
