Coopman Search and Selection is excited to partner with a leading aircraft leasing company in their search for an enthusiastic recent graduate to join as an Executive Assistant, supporting the CEO.
Key Responsibilities
Executive Support
* Manage the CEO’s diary, travel arrangements, and event coordination.
* Draft communications and memos on behalf of the CEO.
* Organise and oversee company meetings, including scheduling, reminders, and catering.
* Welcome office visitors and manage reception duties.
* Handle expense management, ad hoc projects, and data analysis.
* Coordinate company-wide meetings such as Town Halls and off-site events.
* Provide support for quarterly Board Meetings and related activities.
Office Management & Facilities
* Oversee invoice management, including purchase orders and collaboration with the Finance team.
* Manage office renovations, reconfigurations, and repairs across multiple floors.
* Ensure the availability of office supplies, including stationery, branded items, and kitchen essentials.
* Serve as the primary contact for building management, landlords, and contractors.
HR Administration
* Handle HR-related invoicing and maintain accurate HR system records (e.g., new starters, leave tracking).
* Support recruitment processes, including the Graduate Programme and applicant management.
* Assist with HR communications, induction processes, and maintaining employee records.
* Actively participate in CSR and Sports & Social initiatives.
Event Management
* Organise bi-annual offsite events, Christmas/Summer parties, and informal team gatherings.
* Plan and execute CSR events, team-building activities, and celebrations for employee milestones.
* Assist with updates to the company website as required.
Core Competencies
* Bachelor’s Degree or equivalent qualification.
* Proven experience as an Executive Assistant or in a similar role.
* Exceptional attention to detail, organisational, and problem-solving skills.
* Ability to thrive in a dynamic, fast-paced environment and manage multiple priorities.
* Confident interacting with stakeholders at all levels of the organisation.
* Proficiency in MS Office and excellent written and verbal communication skills.
* A proactive, adaptable, and team-oriented mindset with a focus on reliability.
