Job Summary:
We are seeking an exceptional Business Assistant to provide diversified secretarial support to business leaders across various lines of businesses. You will possess a strong work ethic and solutions approach, ensuring seamless execution of tasks.
Key Responsibilities:
1. Proactively manage calendars and emails for swift setup of client meetings, applying good judgment and competing priorities.
2. Develop strong relationships with internal and external stakeholders, ensuring excellent client service.
3. Provide shared phone coverage for a busy group, facilitating significant interaction with clients and senior firm members.
4. Arrange meetings, conference calls and telepresence sessions – both internally and externally.
5. Coordinate travel arrangements, including flights, check-in, VISAs, accommodation and ground transportation logistics, adhering to Corporate Policy and managing frequent changes at short notice.
6. Manage expense processing, reimbursement and account reconciliations, ensuring accuracy and timeliness.
7. Demonstrate a deep understanding of business priorities and expectations, providing integral support to the team.
8. Perform general administrative duties, including room bookings, filing, photocopying and other tasks as required.
9. Collaborate with assistants across the group to provide coverage for absences and ensure seamless operations.
Requirements:
1. Strong competency in diary management, with ability to apply good judgment and navigate competing priorities.
2. Executive-level communication skills, with ability to articulate thoughts clearly and concisely.
3. Experience arranging travel, producing accurate itineraries and navigating systems effectively.
4. Proactive and ownership-oriented approach, with ability to drive results and manage expectations.
5. Strong technical capabilities, with experience in Outlook calendar management.
6. Understanding of expense arena, including expense systems and cost control initiatives.
7. Possess a polished, professional approach, calm demeanor and ability to work under pressure.
8. High level of attention to detail and commitment to delivering high-quality results.
9. Flexible and willing to adapt to changing circumstances.
