Job Title:
Site Facilities Assistant
This permanent position is based in our client site, reporting into the Account Manager.
Key Responsibilities:
* Coordinate and perform planned maintenance (PPM) and reactive works on site with both internal and external suppliers.
* Review and log health & safety documentation, ensuring risk assessments (RAMS) are available for all works, including permit to work system.
* Conduct daily rounds and readings of mechanical and electrical systems, inspect PCC rooms to ensure readiness for the working day, and report any issues accordingly.
* Support the in-house maintenance team as required, carrying out some maintenance tasks.
* Monitor building management systems (BMS) as necessary.
* Manage stock control.
* Liaise with local clients daily to update on tasks and projects where required.
* Produce site-specific reports, such as weekly air conditioning and lighting schedules and monthly energy data reports.
* Liaise with the helpdesk regarding requisitions for orders and service call-outs/issuing and controlling materials deliveries on site.
* Provide in-house mail and porter services.
* Supervise and coordinate third-party contractors attending site, inspect works after completion, and maintain a visitors/contractors log. Report any incidents.
* In case of emergencies (fire, flood, break-in, or accident), carry out emergency procedures.
* Notify the helpdesk of any updates to the site's asset register.
* Oversee the operational delivery of in-house cleaning services.
* Participate in the provision of out-of-hours services.
* Travel between sites as required.
Requirements:
* Experience in a similar facilities role.
* Excellent communication, interpersonal, and organizational skills.
* Working knowledge of a facilities management help desk and computer-aided facilities management (CAFM) software desirable.
* Planning and organizational skills.
* Dependable and flexible, able to work independently as well as part of a team.
* Working knowledge of Microsoft office packages (Word, Excel, PowerPoint).
* Understanding of planned maintenance procedures and building assets.
* A basic understanding of good health and safety practices.
