Vacancy Description : Duties of the Housekeeper Post DKIT February 2025: Cleaning: Procurement of cleaning contract in line with Office of Government Procurement procedures Provide supervision and direction to contract cleaning management and personnel and other cleaning staff employed directly by the Institute. Schedule all cleaning rotas in line with timetables on an annual basis Management of cleaning hours and associated budget Carry out cleaning audits in line with Key Performance Indicators. Supervise and audit contractors in line with Service Level Agreements. Advise contractors of any discrepancies, requirements or changes that may affect their schedules. Assign special duties to contractors as required Co-operate, co-ordinate and communicate with department heads, as required. Pay special attention to any additional cleaning or maintenance requirements for VIPs or events. Responsible for reporting via the Estates Maintenance system all defects pertaining to Estates. Inform other operating departments of housekeeping matters which affect them. Ensure that all cleaning staff comply with Health and Safety regulations Plan and co-ordinate a regular deep clean programme to be completed during the summer months. Procure and supervise window and high-level cleaning Inspect reception reas,corridors,classroom,boardrooms,lifts & toilets each morning and as required periodically during the that they have bee cleaned,presented and supplied to the standards set out. Carry out spot checks staff/student restaurants/toilets prior to luncheons or other functions. Inspect all offices on a regular basis to ensure that furnishings and facilities are clean, well maintained and in good repair. Make recommendations as appropriate. Schedule office visits on a basis to ensure that each area is inspected at least once per week. Control and analyse on an on-going basis, housekeeping costs to ensure performance against budget. Participate in the preparation of the housekeeping budget for the Institute. Inform contractor supervisors/managers of any irregularities in the conduct/appearance of staff Monitor ,evaluate and amend relevant specifications and schedules. Ensure that external and internal window cleaning is carried out. Ensure a regular deep clean programme is prepared and completed during the summer months. Prepare, co-ordinate and implement a quality assurance standard for the housekeeping function. Co-ordinate and procure the removal of chewing gum from main external entrance areas. Waste Management: Co-ordinate the removal of waste and assist in the implementation of recycling policies. Report to Statutory bodies in relation to compliance with all waste regulations on an annual basis Be actively involved in recycling and environmental matters with respect to waste, utilities and cleaning materials Other Duties: Co-ordinate and procure the secure shredding contractor and the waste material involved Procure and supervise the pest control contractor to ensure compliance with tender specifications. Procure and supervise door mat supplier to ensure continuance and regularity of supply Supervise and procure the tropical plant supplier to ensure conformity with tender specification. Procurement of cleaning supplies Report to appropriate department anything which is or maybe considered a Health & Safety Hazard. Assist in the organisation of special events within the Institute ,e.g., conferring ,conferences. Supervise and procure the Sanitary Bin Collection Service. Participate in the preparation of the housekeeping budget for the Institute. Write tenders and engage with the Office of Government Procurement. Control and analyse on an on-going basis, housekeeping costs to ensure performance against budget Report in writing any accidents which may occur to contractual staff or direct cleaning. Carry out any other housekeeping duties as may be assigned by the Estates Manager or other nominee appointed by the President.
