CTS Projects LTD is looking for an Operations Administrator responsible for the provision of customer support, operations planning and office administrative support services.

Location:Ballyboughal, Swords (remote working not available) Reporting to:Contracts Co-Ordinator and General Manager Hours of work:Full time, 37.5 hours per week, Monday to Friday Salary: Negotiable based on experience Responsibilities: Monitor consistently and administer all incoming reactive works from clients, being able, with training, to determine a jobs destination.
Along with other members of the Operations Administration team, ensure the Helpdesk function of our business operates functionally by means of monitoring all contractual based e-mail receptors, answering phone calls and ensuring an exceptional level of administrative organization.
First point of contact for clients; providing updates on outstanding works and liaising with contract managers to ensure client requests are recorded and met Provide support to the Site Management and Operations Management Assist in the generation of bi-weekly and monthly reports to senior managements Assist the Contracts Co-Ordinator and Operations Support Manager in the process for preparing works for billing.
Create Purchase Orders as required Work well under own initiative with a high sense of responsibility Deal with client and management queries/issues in a timely and effective manner Participate actively in problem solving and finding solutions for scheduling difficulties and challenges Promote teamwork, acknowledging staff achievements and successes and provide support following any challenges and difficulties within the team Seek feedback within the team and encourage participation in problem solving Due to the nature of the business, job activities may not be restricted to the above and may be extended in line with business needs Requirements: Fluent English, both written and spoken (Essential) Demonstrated ability to work effectively as a team member in a busy office environment and to plan and organize the service delivery requirements Time management and organizational skills with an ability priorities work tasks and work to deadlines Computer literacy with strong MS Office skills, particularly Excel and Word Communication skills (written, verbal and listening) including high level telephone techniques in order to liaise effectively with staff, clients and subcontractors Ability to take initiative to proactively resolve issues or problems Skills: Operation Administration Communication Organizational Skills Scheduling Subcontractor Management Time Management Customer Service Benefits: Flexitime
