The Role My client, a very busy, private healthcare facility is seeking an experienced Practice Manager to join their team.
This is a full-time, office-based, 12-month maternity leave contract.
As the Practice Manager you will be responsible for ensuring the smooth running of a very busy practice.
This will include managing telephone inquiries from patients, scheduling appointments and procedures, preparing files for clinics, processing payments, ensuring departmental lists are fully booked and utilised, as well as handling any other administrative tasks necessary.
Tasks & Duties Professionally handle incoming telephone calls and emails, ensuring effective communication and timely follow-up on actions.
Schedule appointments, surgeries, and procedures accurately, maximising the use of theatre, robotic, and endoscopy lists alongside clinics.
Manage clinic and theatre lists, coordinating with consultants to add extra sessions and ensuring smooth communication regarding cancellations.
Oversee monthly and quarterly banking, ensuring accounts are balanced, and manage the timely payment of invoices and staff wages.
Send necessary correspondence to GPs and consultants once typed by the typist, ensuring accurate follow-up on all patient-related communication.
Prepare patient files with relevant information to support high-quality patient care and efficient clinic management.
Liaise with internal departments, hospitals, GPs, and other external establishments as needed to ensure smooth operations.
Maintain professionalism and be comfortable using various software packages; delegate tasks effectively to ensure clinic operations run smoothly.
Experience, Qualifications and Knowledge Minimum of 2 year's experience in medical administration, ideally in a front-line role within a high-pressure environment, or an equivalent setting.
Minimum of 2 year's experience managing a busy medical practice or office.
Excellent people management skills and experience.
Demonstrates a high level of empathy and care toward patients.
Communicates professionally and effectively, both verbally and in writing.
Works collaboratively as part of a team, assisting colleagues, communicating effectively, and ensuring smooth handovers.
Displays flexibility to support the delivery of an effective and efficient service, adapting as required to meet changing demands.
