The Gaiety School of Acting – The National Theatre School of Ireland seeks an enthusiastic, driven, and organised individual to fill the position of Morning Receptionist. The candidate will have a proven track record in customer service and excellent communication skills. An integral role within the School, the Morning Receptionist acts as the first point of contact and provides administrative support across the company. This post reports to the Head Receptionist.
Duties & Responsibilities:
1. Customer Service: Efficient handling of all calls, emails, and walk-in customer queries relating to school information, course information, student registration, course booking, room booking, and appointments.
2. Administration: Support for course staff; creating class lists, attendance, photocopying, room bookings, distribution of class material, and other delegated tasks from the Head Receptionist or General Manager.
3. Equipment: Assisting in the setup and management of equipment required for classes within studios, including projectors, cameras, or any other equipment identified by the tutor.
4. Fire Marshal Duties: Assisting in maintaining the school's duties in the event of a fire, ensuring fire exits are kept clear, and performing two sweeps of the school before and after your shift.
5. Sales: Assisting the marketing department in sales initiatives for forthcoming courses, including calls and email communications.
6. Cash-handling: Managing all sales and reconciling cash at the end of the day.
7. Accounting/database: Fee payment collection and processing and daily cash sheet accounting.
8. Switchboard: Efficient handling and distribution of all inbound calls in a professional and accurate manner.
9. Collections: Sensitive and accurate processing of invoices and outbound fee collections calls.
10. Communication/Escalation: Handover of information to the next shift, staff, and business issues to the administrator (e.g., stationary orders required, repairs).
11. Attendance: Update database on class attendance and inform Coordinator of updates.
12. Building Management: Management of studio bookings, office maintenance and upkeep, and DIY upkeep.
13. Security: Responsible and appropriate response to any emergency that may occur during the shift.
14. Personal Assistant: Assisting the Director with calls, messages, letter writing, travel arrangements, or other tasks as deemed appropriate.
15. Assist Marketing: Forward all job info, interview requests, and picture requests to Marketing.
16. Child Protection and Consent Forms: Assist coordinator in maintenance and upkeep of records.

6. Sales experience welcome but not essential.
7. Ability to work in a fast and dynamic environment.

11. Fluent English.

Remuneration:
