Role Overview
Catalyst is looking for a highly organised and detail-oriented Operations Administrator to support ESG and sustainability project delivery. The successful candidate will coordinate key administrative and operational tasks, including document management, client liaison, reporting, CRM maintenance, and bid support. This role is integral to our service delivery and internal operations, with scope to improve systems and processes as the organisation grows.
Duties And Responsibilities
* Execute a variety of administrative tasks efficiently and accurately.
* Collaborate with delivery teams to maintain accurate records and support project workflows.
* Proofread and edit reports, proposals, and key client documents.
* Coordinate bid preparation and contribute to proposal writing.
* Update project cash flows, billing schedules, and maintain accurate financial records.
* Generate weekly/monthly reports from multiple systems (Excel, Power BI, etc.).
* Maintain and update CRM systems (HubSpot), tracking client and project lifecycles.
* Liaise with clients to manage engagement letters, proposals, and document updates.
* Support improvements to internal tools, systems, and workflows.
Mandatory Requirements/Experiences
* Strong organisational and time management skills.
* High attention to detail and document accuracy.
* Excellent communication skills, both written and verbal.
* Able to work independently and within cross-functional teams.
* Proficient in Microsoft Office Suite (especially Excel, Word, PowerPoint, Teams).
* Quick to learn new systems such as HubSpot, SharePoint, Canva, etc.
* Good understanding of cash flows and financial administration.
Desirable Skills
* Knowledge of ESG frameworks and certifications.
* Experience with Microsoft Power BI.
* Familiarity with Canva or similar tools for client-facing content.
* CRM experience (especially HubSpot).
* Background in project coordination and stakeholder communication.
