Job Title: Administration Assistant Dublin City Centre
We are seeking a highly organised and detail-oriented individual to take on a varied role that combines administration, bookkeeping, and PA duties within a professional and supportive environment.
Key Responsibilities
* Administrative Duties:
o Act as PA to the CEO when required
o Supervise the junior office administrator (if applicable)
o Manage reception duties, including answering calls and handling general office queries
o Evaluate and maintain the office and reception area in a professional manner
o Prepare letters, documents, and materials for meetings and events
o Manage stationery ordering, filing systems, and general office organisation
o Assist the Sales team with record management
o Support the Training Manager with administrative tasks
o Coordinate conferences and events, including attendance as an administrator
o Oversight of the boardroom schedule and facilities
o Handle outbound mail and assist with packaging outgoing communications such as membership packs, invoices, and statements
o Maintain Standard Operating Procedures (SOPs) for administrative processes
o Provide support to members and liaise with internal teams to ensure smooth operations
* Bookkeeping Duties:
o Process lodgements and petty cash transactions
o Manage accounts payable/receivable and issue invoices, receipts, and credit notes
o Enter daily cash receipts and assist in debt collection
o Issue renewal notices to existing members
Requirements
* Proficiency in ZOHO systems is essential
* Strong experience with MS Word, Excel, PowerPoint, and Outlook
* Familiarity with Bank of Ireland Business Online (BOL), BOL Payments Plus, and BOL File Gateway
* Excellent organisational skills and attention to detail
* Ability to multitask and prioritise workload effectively
Desirable Skills
* Knowledge of SEO procedures
* Website administration experience
* Familiarity with Survey Monkey
