Are you our next Personal Assistant within KPMG Law Company Secretarial?
Location: Dublin, as part of our hybrid working model.
Grade: Secretary
Contract type: Permanent
A snapshot of your peer group:
* Excellent interpersonal and team-working skills along with a high degree of enthusiasm and adaptability.
* Advanced PC skills specially Excel, PowerPoint, and Word.
* Some Dictaphone experience but not essential; fast typing skills with a high degree of accuracy.
* Experience with organising and managing Outlook calendar/email inbox on behalf of others.
* Experience working with large documents utilising Word and PowerPoint.
* Experience in completion of high-quality PowerPoint presentations.
* A working knowledge of SAP, CRM, SmartTime, DocuSign and ChromeRiver expense management systems would be a definite advantage but not essential as training will be provided.
* Prioritising work, using time management and organisational skills; able to work under pressure.
* Excellent administration skills with an ability to work unsupervised on day-to-day duties and tasks.
* Must possess an ability to multi-task with a strong attention to detail and a sense of urgency.
* Ability to act on own initiative and proactively seek out and take on tasks, providing regular feedback on status.
* Reliability/Flexibility.
* Highly discreet and confidential.
Your responsibilities and achievements will evolve as you enhance your career with us. Here is what you can initially expect:
* General administrative duties to include electronic filing, processing expense claims, travel bookings, incoming and outgoing post, photocopying, etc.
* Secretarial duties for the Team re – comprehensive and proactive diary and email inbox management.
* Provide administration assistance for the Team including scheduling meetings, meeting room bookings, conference on Teams and Zoom, ordering catering, printing agendas and documentation for meetings, etc.
* Arrange weekly/monthly meetings as required – prepare meeting packs as necessary.
* Prepare PowerPoint presentations and assist on proposals/bids – liaise closely with internal departments such as Marketing.
* Maintain internal databases – e.g., proposals/CVs/credentials.
* Liaise and build relationships with clients and internal divisions on behalf of the team.
* Become involved in marketing initiatives/event management, if and when required.
* Coding of invoices and generating client fees.
* Liaise and work with secretaries in other departments – actively share knowledge.
* Provide cover for other secretaries in their absence.
* Input of timesheets.
* Organise team lunches, nights out/client entertainment.
* Assist with any other ad-hoc projects and duties as appropriate.
