General Summary
For this role we are looking for individuals with administrative skills and good communication abilities to support our EMEA IT teams with managing orders, shipping, inventory, and other administrative tasks. With an international and complex environment, we are looking for a well-organized self-starter who is motivated to drive efficient support, and to identify and improve operational efficiencies.
Identifies, develops, and implements process improvement initiatives or solutions designed to enhance data collection, system, and process performance. Creates scalable, efficient, and flexible business designs that balance people, process, and systems. Measures and reviews data and performance metrics on an ongoing basis to identify and resolve issues. Drives solution deployment across the organization including documentation and user training.
Principal Responsibilities
* Provide procurement support, including tracking of approvals, placing vendor orders, tracking shipments, onboarding vendors and working with local IT staff to ensure receipt of goods in line with governance requirements.
* Ensure accurate procurement submissions, documentation, and account codes.
* Liaise with Finance or IT groups to identify and resolve issues that may arise from the procurement process.
* Ensure internal shipping pre-clearance submissions meet regulatory and compliance requirements, and IT teams receiving meet governance requirements.
* Provide invoicing support, reconciling invoices, resolving ageing invoices.
* Work with IT teams to assist with hardware asset follow up for recovery.
* Contributes to the development of process improvement initiatives of limited scope with guidance.
* Supports the implementation of integration and stabilisation projects for business processes of limited scope.
* Identifies performance issues according to established requirements and communicates these issues to senior analysts.
* Provides support for training efforts on straightforward process improvements and enhancements, with supervision.
Minimum Qualifications
* Bachelor's degree in Business, Engineering, Operations, or related field.
OR
* Associate's degree in Business, Engineering, Operations, or related field and 2+ years of related business process analysis experience.
OR
* High School Diploma or equivalent and 3+ years of related business process analysis experience.
Requirements
* This is an on-site role.
* 1-2 years of proven experience with finance/procurement systems such as Oracle.
* Solid experience of working with external vendors.
* Excellent problem-solving skills and attention to detail.
* Solid communication and presentation skills, ability to provide process training if required, or to summarise complex issues to gain understanding.
* Willingness to collaborate with international business partners to identify system solutions or other complex process information, to gain insights, ideas, and connections.
Optional Qualifications
* Qualifications in directly related finance, administration or process analyst areas are beneficial.
