Job Purpose:
To provide comprehensive administrative support in a well-organized and timely manner to the Director of People and Culture and the wider People and Culture Leadership Team, performing tasks necessary to keep projects running smoothly, such as record keeping, resource coordination, scheduling, and ensuring compliance with government and safety regulations.
Minimum Requirements: 2-3 years' experience in a similar role.Educated to diploma/certificate level in a relevant discipline or proven work experience as a personal assistant at senior level.Experience of managing projects, events, and large multi-functional meetings in a complex stakeholder environment.A track record of handling multiple competing priorities in a busy & challenging environment.Experience in making informed independent decisions displaying high levels of initiative.Job Duties & Responsibilities: Accountable point of contact for both in-house and external queries for the People and Culture Leadership Team, using initiative to make decisions on behalf of the Team to ensure the smooth running of the department.Provide comprehensive administrative back-up and support service to the People and Culture Leadership Team to ensure the efficient running of the department, including preparation of presentations, drafting responses to letters, filing, and supporting preparation for meetings.Maintain full diary management for the Director.Accountable for tracking and processing department invoices, expenses reports, and other financial documentation.Accountable Super User of the policy management software, Metacompliance, ensuring HR policies and procedures are updated prior to expiry.Additional Requirements: Proficient in Microsoft Office (Excel, Word, Visio & PowerPoint) with excellent working knowledge of a wide range of communications solutions.High degree of efficiency, attention to detail & excellent organisational skills.Confident and assertive, with high levels of integrity.Benefits: Company Pension SchemePaid maternity leavePaid paternity leave27 days annual leaveBike to work schemeIncome protectionHealth and Wellbeing programmeFinancial support for studying and study leaveNote: These duties and responsibilities reflect the present requirements and may be subject to review and amendment to meet the changing needs of the organisation.
