Job Responsibilities Providing personal assistant support to the Managing Director. Organizing meetings, preparing materials, and collaborating with team members to ensure tasks are completed. Managing calendars and schedules while coordinating with internal teams and external stakeholders. Compiling monthly board packs and distributing them promptly to allow participants time for review. Processing approvals for expense claims, subsistence payments, and related documentation efficiently. Coordinating event logistics for the division and supporting companywide events as needed. Assisting with the operation of CRM, resource planning, and strategy applications. Keeping CRM records accurate and up-to-date through regular updates, data maintenance, and adherence to best practices. Generating detailed CRM reports and dashboards to provide actionable insights for senior leadership. Offering training and support for CRM users, addressing issues, and serving as the primary contact for CRM-related queries. As a key member of the divisional team, you will collaborate closely with other administrators and executive assistants across the organization. Experience Required A minimum of 5 years of office administration experience, with proficiency in MS Office tools such as Word, Excel, SharePoint, Teams, PowerPoint, and Outlook. Strong organizational, written, and verbal communication skills. Experience in graphic design, presentation creation is advantageous. Educational Requirements Completion of a relevant administrative certification or diploma (e.g., ECDL, Pitman training, etc.).
