Artwork Specialist/Senior Specialist
The Artwork Specialist/Senior Specialist manages artwork updates and ensures that any associated regulatory implementation deadlines and supply requirements are met. He/she liaises with all internal and external parties involved in the process (CMO, QA, Legal, Commercial, Regulatory Affairs, Artwork Studio) to ensure clear communication of project goals and timelines, thus preventing re-work and excessive on-cost. He/she will manage their own project plans to ensure that artworks are created on time and in full, and all projects are delivered to market on time.
He/she manages the communication and escalation of day-to-day activities and projects to the relevant parties where delays are encountered that have a potential impact on compliance, supply, and/or project timings.
PRIMARY DUTIES/RESPONSIBILITIES
1. Initiate artwork changes in our artwork management system (GLAMS) based on notifications of regulatory approval and/or project schedules.
2. Coordinate artwork changes through input, creation/update, and approval with relevant internal and external functions (CMO, QA, Legal, Commercial, Regulatory Affairs, Artwork Studio).
3. Coordinate requests for mock-ups to support submissions to regulatory authorities.
4. Manage the implementation timelines for artwork changes:
1. Agree implementation requirements with RA.
2. Plan and manage projects around the agreed implementation requirements and manufacturing planning schedules.
3. Liaise with all stakeholders to ensure implementation requirements are communicated clearly.
4. Ensure artworks are approved and released on time to meet implementation requirements.
5. Coordinate artwork status & performance reports/metrics.
Quality, Compliance & Continuous Improvement
1. Manage quality records (Change control, deviation, CAPA) on our QMS system (Veeva).
2. Ensure on-time closure of quality records.
3. Proactively engage within the department to improve and maintain compliance and audit-ready status.
4. Work cross-functionally to identify process improvement areas.
5. Ensure procedures are compliant and followed.
6. Prepare and update documentation/procedures, as required, for compliance and continuous improvement projects.
7. Actively participate in system upgrade/process improvement projects.
KNOWLEDGE/SKILLS/ABILITIES REQUIRED:
1. A relevant science/engineering bachelor’s degree preferred and/or equivalent work experience.
2. 2 years administration/artwork coordination experience, preferably in the pharmaceutical industry.
3. Detail and technical oriented, focused on accuracy.
4. Analytical thinker with excellent problem-solving skills.
5. Intellectual curiosity – willing to learn, as well as to suggest and try new ideas.
6. Takes ownership and accountability for activities.
7. Positive and proactive approach to business tasks.
8. Excellent verbal and written communication skills.
9. Ability to work independently and collaboratively, as required, in a fast-paced, matrixed, team environment consisting of internal and external team members.
10. Excellent planning, organization, and time management skills including the ability to support and prioritize multiple projects.
11. Sense of urgency – responding to issues and opportunities in a timely manner.
12. Ability to manage multiple artwork change projects whilst ensuring compliance and supply-to-market requirements are always met.
13. Experience of working in accordance with quality standards, e.g., GMP.
14. Experience of using a quality management system preferred.
15. Demonstrated ability to establish and maintain effective working relationships with internal team members and external vendors.
16. Ability to prioritize decisions and activities to ensure efficient use of resources and address critical issues impacting the business.
17. Proficiency with Microsoft Office.
