Cairn has a unique opportunity for a high calibre Business & Project Support Administrator to support the Commercial Team. This role reports to the Director of Commercial & Procurement and will support in the day to day operations of the Commercial team. We require an experienced, motivated team player with excellent organisation and communication skills, and a keen attention to detail.
Key responsibilities:
* Support the Commercial Director with calendar management, mailbox management and project oversight.
* Assist with Commercial team stakeholder management to include supervision of functional data and activity.
* Oversight of key Commercial team activity, assisting with communicating and translating requests to functional leads, tracking actions, issuing prompts/reminders and summarising responses/data to Director.
* Provide support to the commercial teams through the administration of documentation and processes to include:
o Quantity Surveying contract documentation updates
o NDA management
o Regular updating of Delegation of Authority (DOA) lists, NAV authorisations and authorised signatories
o Quarterly audit of Commercial Document Management System, SharePoint permissions and Commercial team owned distribution lists
o Generation and tracking of POs
o Coordination of the administration of legal documentation and fees for Building Control Management System (BCMS)
o Annual opex budget process including quarterly reviews
o Support development and review of reports, presentations and communications to a high standard for internal and external use. To include but not limited to:
o Quantity Surveying Forum presentations
o Leadership Team Forum content
* Lead the coordination of meetings and events within the Commercial team, providing support and minute taking where required. To include but not limited to:
o Monthly Leadership Team Forums
o Weekly team meetings
o Quarterly Quantity Surveying Forums
o Monthly Commercial Review Meetings
o Subcontractor events - annual, regional and ad hoc
o Support with team site visits / trips abroad
* Support the Commercial team with other regular activity including:
o Annual SCSI subs payment
o Organisation of quarterly Assessment of Professional Competence (APC) check-ins
o Annual Christmas gifting (business wide)
o Ad hoc support to Commercial team
* Additional tasks will be allocated to reflect increasing levels of development and experience.
The candidate:
* Minimum 4 years’ experience in a challenging administrative role in a fast paced environment.
* Strong IT skills with competency across Microsoft Excel, PowerPoint, Teams and Outlook.
* Ability to communicate at all levels across functional departments.
* A strong ability to multi-task and work to deadlines in a fast-paced environment where relationships, organisation, and a high attention to detail is required.
* Self-motivated team player but with the ability to work on one’s own initiative.
* Excellent spoken and written communication skills.
* Enthusiastic and willing to learn.
