Position: Project Order Administrator

Role Summary:
We seek an exceptional Project Order Administrator to join our dynamic Customer Service Team. In this role, you'll process project orders, focusing on the Visitor Management portfolio. You'll collaborate with Sales, Supply Chain, and Project Management teams to support the CS team's core responsibilities, serve as a backup within the global acre CS team, contribute to global tasks where applicable, and participate in optimization and innovation projects impacting the global CS teams.
Key Responsibilities:
1. Receive and verify customer orders, ensuring accuracy with quoted prices and master data (e.g., Customer/Product Master data).
2. Input customer information, order details, and contracts into the ERP system while considering the project structure and billing terms.
3. Communicate with customers/Sales to resolve issues such as shipping, billing, or payment changes.
4. Update orders and maintain accurate records throughout the project lifecycle, ensuring coordination with Project Managers and using tools like Google Sheets, MS Excel, MS Teams, or Salesforce.
5. Document and update the CRM (Salesforce) as needed, while managing a shared mailbox for inquiries.
6. Follow up with customers/Sales to ensure satisfaction, addressing any concerns and supporting day-to-day business.
Requirements for Success:
1. Strong business acumen, professionalism, and ability to work within diverse, multicultural environments.
2. Proficient in ERP (SAP) with effective use aligned to defined processes; knowledge of NetSuite (future ERP) is a plus.
3. Excellent command of Business English for professional communication with international customers and colleagues.
4. Proven skills in data analysis, Excel spreadsheet management, and project handling.
5. Organized, self-motivated, and skilled in planning and teamwork, with the ability to build strong relationships at all levels.
6. Familiar with European business practices, governance standards, and cultural sensitivity in managing stakeholder relationships.
7. Prior experience in a project-based business is preferred.

Salary: €45,000 - €60,000 per year (dependent on experience)
