The post holder will contribute to the provision of the health care of patients in the Primary and Community Care Group by organising the delivery and collection of equipment to patients being nursed within the community. The post holder will be part of a small team of administrators, clerical staff and community equipment cleaning staff and will co-ordinate the day to day work schedules for the porter/drivers who support the District Nursing services in delivering effective and timely care to patients nursed within the community.
The post holder will be the first point of contact for equipment queries, and will work within a busy team providing a patient centred approach. They will perform a range of administration and clerical duties and will be expected to liaise in a professional manner with patients, colleagues, members of the public and other agencies involved in patient care, both face to face and over the telephone.
The post holder will work independently within defined policies and procedures and plan a fundamental role within the service.

Job responsibilities
The post holder will:
* Co-ordinate the daily work schedules for the community Porter/Drivers whilst ensuring that all delivery and collection of equipment is undertaken in a timely, safe and effective manner.
* Liaise on a daily basis with professional staff, patients, relatives, carers and other agencies to produce the Porter/Drivers daily work schedules.
* Ensure all patient equipment is cleaned, serviced and ready for re-issue in line with local protocols by liaising with the community equipment cleaning staff.
* Work closely with and provide day-to-day support/supervision to our equipment cleaners.
* Maintain and monitor equipment stock levels to meet the demands of the service.
* Ensure that the equipment utilised in the community is safe and complies with statutory legislation regarding maintenance.
* Update, interrogate and monitor the clinical engineering equipment library system in line with the service requirements for patients nursed at home and in conjunction with the system manager.
* Use their own initiative whilst dealing with the priority of the workload.
* Co-ordinate the movement of furniture, equipment and supplies between staff bases.
* Co-ordinate the distribution of the internal mail process across bases of work for staff within the locality.
* Provide all statistical information related to stock and equipment as required by the CSG manager relevant to own work.
* Participate in the procurement process utilising the Oracle purchasing and receipting system.
* Oversee the reconciliation of petty cash accounts and reimbursement claims process.
* Oversee and monitor the District Nursing patient notes off listing and archive process.
* Undertake regular audits as requested by the Senior Manager within the Locality within the sphere of responsibility.
* Act as point of contact for all items requiring repair within the Community Offices.
* Work closely with the administrative and clerical staff within the community health office to provide cover during periods of annual leave or sickness. This will require the post holder to possess advanced keyboard skills as the role can require a range of typing skills.
* Maintain knowledge and compliance with all Cwm Taf Morgannwg UHB policies and procedures.
* Support any ongoing business processes with the Senior Manager to improve service delivery.

Person Specification
Knowledge and Experience
* Knowledge of administrative and clerical processes via NVQ/OCR3 level or equivalent.
* Experience of working in a busy office.
* Good standard of written and oral communication with the ability to overcome communication difficulties.
* Experience working in an NHS or Healthcare setting.
* Oracle system training.
* The ability to speak Welsh or learn to a satisfactory level.
