Job role:
This role reports to the Programme and Planning Manager - Medica Ireland and has been created to provide project office support to both the corporate portfolio (within the project office) and the activities and processes associated with the deployment of Medica Ireland client services.
It is anticipated that 50% of the role will involve working on the corporate portfolio, the remainder on activities associated with the deployment of client services. The role is a support only role and full training will be given to enable the successful applicant to develop their skills and knowledge.
This is a great opportunity for an experienced administrator with experience in the healthcare sector who is willing to take a step further in their professional career and develop their project management skills gaining experience in this area with an award-winning radiology services provider in Ireland.
Candidates in possession of some experience in project management support will also be welcomed as well as applicants with no experience in healthcare may also be considered.

Key responsibilities:
* Provide primarily administrative functions/housekeeping duties associated with client deployments and the project office including detailed minutes of meetings, publishing action lists, creating and issuing meeting/calendar invites to relevant stakeholders, creating and formatting process maps/workflows and associated documentation.
* Provide administrative support for wider project teams including editing procedures, training documentation and process mapping new activities to support the implementation of new service deployments.
* Support the Programme and Planning Manager in maintaining risks, issues, assumptions, actions, and project plans.
* Advise the Programme and Planning Manager of any project issues requiring attention.
* Support and maintain capacity planning and resource tracking across the Portfolio thus enabling the Programme and Planning Manager to identify bottlenecks and potential resource conflicts within teams.
* Support deployment services by working and communicating with internal and external stakeholders to successfully implement Medica’s services to clients.
* Support the Programme and Planning Manager in developing training support documentation and process guides for necessary pathways and activities as indicated by the manager.
* Follow up on queries relating to projects and new service deployments as requested by the Programme and Planning Manager.
* Provide support to the technical team and Solutions Architect functions in project activities such as training plans, training documentation and integration testing on Medica systems.
* Demonstrate flexibility in undertaking additional tasks as may be assigned and to manage and maintain good communications across multiple stakeholders.
* Other tasks to benefit the sites as the role progresses, determined by capacity and type of tasks.
Requirements:
Experience
* Experience in administration with demonstrable capacity for delivering accurate work on time in a dynamic and multi-priority context.
* Proficient in use of Word, Excel, Visio, SharePoint, and Microsoft 360.
Essential skills
* Demonstrable skills in work-planning and administration.
* A strong sense of mission and appreciation of the aims and objectives of a project.
* Ability to work on own initiative.
* Fluent in spoken and written English with strong communication and analytical skills.
Desirable skills
* Ability to work diplomatically and collegiately with others at all levels of the business.
* Understanding of project management methodology.
* Proficiency in Microsoft applications (MS Project, Office 365 applications, Visio).
* Analytical skills and familiarity with data analytics tools to produce KPIs.
* Previous experience in the healthcare industry is advantageous.
