Background to the Role The primary function of the role is to assist the Facilities Manager in ensuring the RDS campus is maintained to the highest professional standard.
The RDS property portfolio is of a mixed vintage, with Georgian buildings, new structures and proposed new construction projects.
The RDS is responding to a need for upgrade and renewal of its buildings (fabric and services) as part of a condition upgrade and campus development plan.
The post holder will be critical in the execution of works to that end.
The RDS Facilities service consists of an in-house team of trades and crafts, GOs and outsourced service providers.
There are a vast number of contracts to be maintained and reviewed, including planned preventative maintenance and service contracts ranging from parking to security, generators and CCTV.
The Assistant Facilities Manager will be expected to administer rostering and other duties in charge of the in-house teams along with procurement and management of the external service providers.
In conjunction with this, the RDS is a busy events venue, renting its space to a variety of return and new customers.
The RDS also runs its own major event in the Dublin Horse Show annually.
The postholder will be pivotal in the success of these events,enhancing client relationships and seeking services from our in-house and outsourced teams to assist in this.
Key Responsibilities Develop strong relationships with day-to-day Clients, internal and external.
Manage contracts for works and services.
Manage rosters and team members as required.
Continually look to implement new initiatives.
Ensure all sites adhere to contractual obligations for review and governance meetings, including health & safety, crowd control and fire safety compliance.
Manage the relationship with key service providers across security, parking, and cleaning services.
Build budgets from first principles for approval and administer with monthly tracking and rolled up progress on actual spend against expectations.
Assist the Campus Director and FM in responsibilities relating to parking strategy and management, security management, environmental climate action plan initiatives and safety matters, including building fire registers.
Management of staff issues (e.g., attendance, conduct, capability, and competency etc.)
that are covered by HR procedures or local safety rules.
Drive employee engagement on site.
Person Specification Proven experience in managing teams, including trades/crafts and general operatives Development of commercially viable solutions based on rigorous techniques to understand Client and contractual needs.
Excellent numeracy skills and attention to detail.
Ability to manage multiple workloads and shifting priorities in a fast-paced dynamic environment.
Ability to interpret and utilise complex and varied financial and commercial information.
Excellent interpersonal skills and ability to communicate effectively with customers, Clients, and employees at all levels.
Desirable experience:
Experience of projects, events and operations.
Proven built environment workplace experience.
Experience in Security Management, Health & Safety protocols, and Environmental climate action plans initiatives.
Experience in procuring supplies, services and contracts.
Proven experience in managing accounts and budgets.
Experience in a large institution and campus estate group / company.
Ability to use computer packages and CAD drawing tools.
