Job Title: Administrator
Reporting Relationship: Reports to the EmployAbility Wexford Coordinator
Key Working Relationships: Board of Directors, coordinator, supported employment team, clients, funders & other stakeholders.
Location: Room 15, IFA Centre, Mill Park Road, Enniscorthy, Co Wexford
The service is managed by a voluntary Board of Directors.
Wexford Consortium for Supported Employment CLG trades as EmployAbility Wexford and is a Supported Employment Service which works with job applicants and employers to increase the participation of those with a health condition or a disability into employment. The company is funded by the Department of Social Protection (DSP). We currently have a Fixed Term Contract position for an Administrator.
Overall Purpose of the Job: The Administrator will provide receptionist and clerical support to ensure the efficient operation of the office.
Key Duties and Responsibilities:
* Front office reception duties, dealing with clients and all other general enquiries relating to the service and directing queries to the appropriate person.
* Managing and logging all client referrals to the service.
* Preparing client files for new referrals.
* Compile and maintain records of office activities, e.g. maintenance records etc.
* Perform administrative tasks such as photocopying, scanning, and printing.
* Maintain financial accounting tasks such as invoice verification and income and expenditure records, bank reconciliation, EFT bank payments and reconcile petty cash. Compile the monthly creditors payment list. Compile the monthly financial returns.
* Operate SAGE Payroll System monthly, including keeping all payroll records and completing reports for month end, uploading payroll and ROS files. Update and maintain payroll journal. Revenue payment of PAYE / PRSI each month.
* Oversee monthly staff expenses and the payment process.
* Reconcile attendance records for each month.
* Compile annual budgets – salary costs and overheads for the coordinator.
* Monitor and replenish office supplies.
* Ensure cleanliness and organisation of the office area.
* Assisting the service coordinator when required.
* Attending team meetings / management meetings and compile minutes.
* Participate in team training as required.
* Update company social media platforms.
* Assist in the promotion and event planning in relation to any events EmployAbility Wexford are running.
* Any other duties as assigned.
