Role Summary
The Administrative Receptionist will provide a warm and professional reception service, ensuring effective communication with clients, particularly older individuals who may have hearing difficulties or cognitive challenges. This role involves a combination of traditional reception duties and specialised tasks to support the CSP NKHMS programme for older persons.
Job Description
Phone Management: Answering and directing phone calls in a courteous and timely manner.Client Engagement: Engaging with older clients who may have hearing impairments or cognitive difficulties, ensuring clear and patient communicationVisitor Assistance: Greeting and assisting older visitors, ensuring a welcoming environment.
Required Skills, Attributes & Qualifications
Working Conditions: Providing additional assistance to older clients in understanding and completing necessary paperwork, maintaining a compassionate and patient demeaner.Application Processing: Receiving and processing maintenance service application forms from older individuals, collecting detailed information over the phone.Task Allocation: Directing application forms to the Manager for allocation to the appropriate maintenance workers based on the specifics of the job and the workers' expertise.Administrative Support: Maintaining accurate records and databases related to client interactions and service requests, assisting with the preparation of reports and documentation.Coordination: Liaising with other Home Maintenance Service staff members to ensure seamless service delivery from the CSP programme e.g. Manager, Administrator and outdoor Maintenance Workers.
Additional Duties: Participating in team meetings and training sessions to stay informed about program updates and best practices. Strong communication skills, both verbal and written.Patience and empathy, particularly in dealing with older individuals.Proficiency in using office equipment and computer software, including databases and scheduling tools.Ability to multitask and prioritize tasks effectively.Attention to detail and strong organizational skills.Previous experience in a reception or administrative role.Experience working with older individuals or in a community service setting is preferred.Additional qualifications in office administration or related fields preferable.Regular interactions with older clients, requiring a calm and supportive approach.
This role is essential for ensuring that older individuals receive the maintenance services they need to live independently, with an emphasis on providing compassionate and effective support through all interactions.
