Job Description
As a Facilities Assistant at ARAMARK Workplace Solutions (AWS), you will be based in Carrick-on-Suir. Your role will involve daily rounds and reading of all M&E systems to ensure operations.
You will also be responsible for:
* Daily inspection of PCC rooms to ensure they are ready for the working day, reporting any issues appropriately.
* Dealing with cleaning issues and stock levels.
* Performing stationary checks and restocking as needed.
* Carrying out weekly stationary requirements and placing orders, checking when received.
* Liaising with key boxes and issuing keys when necessary.
* Setting up for meetings and rearranging afterwards.
* Supporting office relocations, moves, and office re-layouts.
* Assisting with PPM activities, Energy, Wastes, and Cleaning checks across the site.
* Receiving large/bulky items on site and moving them to their destination.
* Maintaining open office areas in good order.
* Portering heavy parcels, equipment, and miscellaneous items.
* Completing ad-hoc tasks as requested by the FM Coordinator or Regional Facilities Manager.
* Providing cover for the mailroom, including receiving and sorting mail, distributing incoming and internal mail.
* Ensuring the overall function of the Facilities Assistant Role within the centre.
* Managing couriers, mail, and postal activity.
* Supervising and coordinating third-party contractors attending site and inspecting works afterwards.
* Maintaining a visitors/contractors log and reporting any incidents.
* Carrying out emergency procedures in the event of a fire, flood, break-in, or accident.
* Liaising with clients and stakeholders to optimize quality of service.
* Complying with relevant Health & Safety requirements and ensuring that fire, health, and safety regulations are adhered to throughout the building and car park.
* Inspecting common areas for leaks and arranging for remedial repairs.
* Serving as the first responder for RealTime FM and reactive tasks within the centre.
Requirements
* 2 years of experience in a similar facilities role.
* Excellent communication, interpersonal, and organizational skills.
* Basic PC literacy, understanding of PC use, email, system information, and document updating.
* The ability to communicate effectively over the telephone and face-to-face is essential.
* Planning and organizational skills are required to balance multiple duties and prioritize tasks.
* Able to accurately complete tasks assignments and responsibilities in a timely manner.
* Experience working in a fast-paced office environment.
* Dependable and flexible, able to work independently and as part of a team.
* Some experience working in a busy mailroom department.
* Educated to Leaving Certificate Level.
* Familiarity with MS Office packages, Word, Excel, PowerPoint.
* Experience working in an office/healthcare environment.
* A basic understanding of good health and safety practices.
* Experience using basic mailroom equipment and dealing with international online courier systems.
