Location: Dublin, Dublin International Study Centre
Be a key member of the Centre’s Student Experience Team, holding primary responsibility for the effective management of data, assessments and academic administration and ensuring compliance with Study Group Ireland’s policies and Quality and Qualifications Ireland (QQI) regulatory requirements. Report to the Deputy Director - Student Experience and will provide line management and day-to-day supervision to Data & Operations Coordinators and Student Wellbeing & Engagement Officer, supporting their professional development and ensuring high performance. Support and coordinate administrative processes related to timetabling, attendance monitoring, student records and compliance reporting. Work in a matrix structure and need to build strong working relationships within the Student Experience Team, as well as with Centre academic and management staff, central Study Group teams and the university partner with the purpose of maximizing student outcomes and satisfaction and the smooth running of the Centre.
ABOUT THE ROLE
* Provide leadership, coordination, and motivation to the Data and Operations Coordinators and Student Wellbeing & Engagement Officer, fostering a collaborative team environment focused on delivering the best possible student outcomes and student experience.
* Liaise with the Deputy Director – Student Experience to ensure front desk/reception areas are covered during working hours and allocate workload in busy periods or during absence of any of the Student Experience Team.
* Collaborate with central teams to drive continuous improvements in processes and communication, with the aim of enhancing the overall student experience.
* Ensure effective performance management of direct reports by setting clear personal objectives and KPIs, conducting regular performance reviews of direct reports, and carrying out formal appraisals in line with Study Group Ireland policies and procedures.
* Facilitate, encourage and support staff to participate in regular personal development activities.
* Support the recruitment of new staff as required, ensuring alignment with QQI standards and adherence to Study Group Ireland policies and procedures.
* Support local awareness raising of compliance requirements and procedures.
* Compliance with QQI standards and regulations, along with adherence to the Quality Assurance Framework and policies of Study Group Ireland.
* Maintain the Centre’s definitive datasets and student results, ensuring accuracy and currency, and produce reports for the Centre Director/other members of the team as requested.
* Act as secretary to relevant governance boards as required.
* Ensure Study Group Ireland policies and standard operating procedures are followed.
* Support management teams in preparation for quality assurance and enhancement activities.
* Liaise with central teams to update student bookings with student study plan changes.
* Ensure student reports are produced in a timely manner and information is accurate and student feedback is professional.
* Support management with MAB (Module Assessment Board) and PAB (Programme Assessment Board) organisation.
* Assist the centre managers with the implementation of assessment standards and regulations.
* Organise the release of assessment screens termly.
* Organise and assist with invigilation of assessments.
* Oversee the organisation and coordination of all assessment-related processes, including security, collation, distribution, collection and archiving of assessments.
* Ensure all assessment procedures are carried out in strict compliance with QQI standards and regulatory requirements, maintaining the integrity, confidentiality and traceability of assessment documentation throughout the assessment cycle.
* Ensure all systems related to academic administration and assessment are regularly reviewed, maintained and updated to support accurate and efficient processes. Take responsibility for the accurate logging, tracking, and updating of all assessment related documentation, including but not limited to academic appeals, academic misconduct cases, and mitigating circumstances.
* Coordinate the collection of information from faculties and management to complete the central timetabling template and liaise with the central team for its creation and any changes.
* Maintain accurate and up to date records, and follow up on outstanding compliance documentation to ensure timely submission.
* Organise student registration at all intake points, including late arrivals, to ensure student records are updated, relevant documentation is uploaded, and quality audits are undertaken for accuracy and missing information.
* Monitor attendance in line with the policy, logging the attendance interventions required (and liaising with the Wellbeing & Progression Co-ordinator) to ensure interventions are implemented. Record any mitigating factors.
* Support the Student Experience Team in contacting absent students and inform parents and agents when necessary.
* Be a key point of contact for all students, responding promptly and professionally to student enquiries and support requests, while fostering positive relationships that enhance the overall student experience.
* Assist in organising and delivering student events such as induction, transition and enrichment activities.
* Liaise with central teams to manage workload in busy periods or during absence.
* Collaborate with central teams to contribute to the continuous improvements activities to enhance the student experience.
* To foster productive relationships with internal and external stakeholders.
* Undertake any additional duties as reasonable assigned by the Deputy Director Student Experience or Centre Director.
ABOUT YOU
* Bachelor's degree (or equivalent experience demonstrating ability to work and think independently).
* Line management of staff desirable.
* Supporting students in an educational context.
* Working to develop, build and maintain the student experience.
* Working in a regulated environment.
* Knowledge of the QQI framework.
