About Your Role
This job encompasses various aspects, including Finance, Customer Service, and Order Fulfillment. Don't worry, comprehensive training will be provided to bring you up to speed.
Key Responsibilities
* Financial Data Management:
o Record purchase invoices
o Assist in preparing product costs and pricing
o Contribute to annual budget and cash flow forecasts
* Stock Monitoring:
o Collaborate with the Production & Operations Manager to monitor stock items
* Bank Transactions and Reconciliation:
o Record all bank transactions, including payments and receipts
o Conduct reconciliations
* Customer Financial Relations:
o Send out customer statements
o Follow up with Aged Accounts Receivable on a monthly basis
* Collaboration with Management Accountant:
o Coordinate with the Management Accountant to prepare R&D Tax Credits
o Calculate sales commissions
* Payment Processing:
o Upload payments and authorise transactions
About Customer Service
* Order Fulfillment Management:
o Collaborate with the Managing Director and Production & Operations Manager to ensure that all accepted orders align with manufacturing and supply capabilities
o Coordinate the receipt and acceptance of sales orders
o Manage relevant documentation related to sales orders and shipping
* Customer Service Coordination:
o Work closely with the Sales Support Manager and Administration Officer to streamline customer service processes
o Prepare customer order documentation in collaboration with the QA Manager and Technical & Quality Technologists
* Shipping and Communication:
o Create the weekly shipping schedule
o Coordinate the shipping of sales orders
o Issue certificates of analysis
o Proactively inform customers about the progress of their orders and address any shipping-related issues
o Participate in investigations related to customer complaints
* Administrative Duties:
o Handle administrative tasks related to stationery, computer systems, and telephone systems
o Maintain records in accordance with the Quality Management System (QMS)
o Prepare and issue sales invoices

What We Offer
You will work on site with a great team at the North Cork site in a friendly environment. The salary for this 1-year contract position is up to €44,000.
