This leading Dublin four star is recruiting a Group Reservations Supervisor to manage their group reservations function, ensuring an efficient reservations experience from quotation to contract to hand over to the Operations team.
The Group Reservations Supervisor is responsible for quoting, converting and managing all group accommodation enquiries, ensuring that the hotel revenue and reservations strategy is implemented in order to fully optimise hotel revenue.
Key responsibilities include:
1. Ensure that every enquiry is tracked, followed-up and thoroughly documented.
2. Ensure that all groups are entered into Opera correctly with relevant notes, traces and rates.
3. Ensure that all group traces are actioned daily, and groups on option are chased or cancelled on time.
4. Co-ordinate all relevant information/queries in advance with Hotel Operations.
5. Recognise regular and repeat business and ensure special requests are clearly noted for Reception.
6. Complete all necessary weekly/monthly group reports.
7. Ensure all filing is completed in an efficient and timely manner.
8. Upsell and recommend the hotel facilities at all times.
9. Be knowledgeable of hotel market pricing and review the hotel’s pricing appropriately. Understand the impact of relative pricing decisions on property performance.
10. Implement the sell guidelines for groups and coordinate management of group business closely in conjunction with relevant hotel teams.
11. Pro-actively identify low demand periods and help to develop a plan to improve performance.
12. Ensure the effective implementation and compliance of all company Group Reservations SOP’s.
13. Ensure that all group revenue is attributed to the correct revenue category and market segment.
14. Assist with individual reservations as required.
15. Recognise sales leads and pass them on to the Sales office.
16. Work closely with the Sales & Marketing Manager to ensure that key group decisions are in alignment with hotel policy.
17. Ensure that all payment of accommodation is collected and any billing/payment query is referred to the Revenue & Reservations Manager / Sales & Marketing Manager.
18. Work closely with the Reception team and ensure all information for group bookings is passed on to Reception in order to ensure every guest has a problem free stay.
19. Occasional weekend / Bank Holiday cover is required with this role.
The ideal candidate will have at least three years’ experience within a hotel reservations office with experience of group reservations, four star experience a strong advantage. Must have keen attention to detail with good numeracy skills and excellent communication skills with fluent English, written and verbal.
