Job Description We are seeking a highly organised and detail-oriented individual to join our team as a Project/Office Manager.
In this role, you will be responsible for providing support to our executive team and ensuring the smooth operation of our office site
Responsibilities:
Assist engineering teams and lead internal activities such as Capture the flag, Hackathons, Tech talks, innovation projects tracking.
Coordinate and lead our TY program Assist with ordering and procurement of supplies and equipmentServe as the IT project coordinator for site-related projectsEnsure the functionality and operational readiness of the office site at all timesAct as main POC for all internal communication tasks Facilitate Town Hall meetingsLiaise with internal teams and assume local responsibility for the ISO 27000 series certification for Information Security and Privacy ManagementLiaise with the corporate IT Site Lead and Support Teams, representing local business unit/site interests and coordinating with local IT techniciansCoordinate with the outsourced facility team and Corporate Real Estate, following up on facility-related matters and representing local business unit/site interestsManage the shipping function, including following up with local shipping employees and negotiating contracts with shipping couriersSupport the compliance team by pulling import specifications for local ECCN (export control) complianceChair the Cork Environment Health & Safety board, ensuring site compliance with local EHS regulations, conducting quarterly meetings, and driving continuous improvement initiativesConduct workplace assessments as requiredAll other duties as assigned by the Cork site leadership teamLead projects from requirements definition through deployment, identifying schedules, scopes, budget estimations, and implementation plans, including risk mitigation.
Coordinate internal and external resources to ensure that projects adhere to scope, schedule, and budgetAnalyse project status and, when necessary, revise the scope, schedule, or budget to ensure that project requirements can be met.
Work closely with finance to track and forecast spend on the Cork site budgetLiaise with internal teams and assume local responsibility for the ISO 27000 series certification for Information Security and Privacy Management.
Support internal and external ISO audits to ensure compliance is achieved and maintained.
Create site level Business Continuity Plan (BCP)
Manage the reception desk and conference areaSupport the Cork Leadership Team (CLT) for cross site related activitiesBasic RequirementsSpecific Knowledge/Skills:
A Bachelors degree (may be substituted with equivalent work experience in this field as determined by the hiring manager)
Proficiency in Google apps and Google suites, presentation software and other relevant systemsExcellent communications skills, including interpersonal skillsResults driven and orientedThe ability to read, understand and interpret contracts as well as understanding basic financial accounting principles and budgetsExcellent writing skills and the ability to proofread, edit and format written documents and reports to a high professional level, within minimal errorsMust be able to report to the Cork Office as a work locationAttention to detail and accuracy in workKnowledge of EHS regulations is a plusFamiliarity with facility management and office operationsStrong organizational and time management skillsExperience with calendar management and meeting facilitationKnowledge of IT project coordinationAbility to work independently and prioritise tasks effectivelyPersonal Traits:
Strong self-management skills and interpersonal communication skills to work closely with Motorola's customers, as well as Engineering, Project Management, Real Estate and managementSelf-motivated and self-managed to perform the required duties at a distance from direct supervisionThe ability to learn new skills, systems and technologies
