Here at Mountain View and Fern Hill Estate, we are looking for an experienced Events Coordinator to join our team on a full-time basis. We are currently undergoing a number of exciting new ventures and are seeking an enthusiastic and organized individual to provide a memorable experience to each of our guests.
Responsibilities include:
1. Meet with clients to understand their event goals, budgets, and requirements.
2. Plan and coordinate all aspects of events, including layout, decor, catering, entertainment, and technical needs.
3. Develop detailed event proposals and itineraries, ensuring all aspects are covered.
4. Serve as the primary point of contact for clients, maintaining clear and effective communication throughout the planning and execution stages.
5. Address client queries, concerns, and special requests promptly and professionally.
6. Build and maintain strong relationships with clients, vendors, and partners.
7. Coordinate with florists, decorators, entertainers, photographers, and other vendors to ensure seamless service delivery.
8. Manage contracts, payments, and logistics for all third-party vendors.
9. Oversee the setup and breakdown of events, ensuring that all elements are executed according to plan.
10. Coordinate with internal teams, including kitchen and bar staff, to ensure timely and efficient service.
11. Manage event timelines, ensuring all activities run smoothly and on schedule.
12. Assist in the creation of content for social media, websites, and other marketing channels to generate interest and bookings.
13. Attend networking events and trade shows to promote the venue and build industry connections.
14. Ensure all events comply with health, safety, and legal regulations.
15. Obtain necessary permits and licenses for events as required.
16. Perform any other duties assigned by the venue manager or management team.
Requirements and skills:
1. Degree in Event Management, Hospitality, Marketing, or a related field OR Minimum 2-3 years of experience in event planning, coordination, or management, preferably in a hospitality or restaurant setting.
2. Proven track record of successfully planning and executing a variety of events, such as weddings, corporate events, and private parties.
3. Strong organizational skills with the ability to manage multiple events simultaneously.
4. Excellent communication and interpersonal skills, both written and verbal.
5. Attention to detail and a keen eye for aesthetics and logistics.
6. Demonstrated ability to build and maintain strong client relationships.
7. Willingness to work flexible hours, including evenings, weekends, and holidays, as required by event schedules.
8. Collaborative attitude and the ability to work effectively with other departments and team members.
9. Experience with social media and digital marketing for promoting events is desirable.
