We are looking for a detail-oriented and organised Accounts Assistant to join our team. As an integral part of our finance department, you will support the accounting functions in the office which may include part functions to do with accounts receivable, income audit, cash and accounts payable. This role offers an exciting opportunity to contribute to the financial success of our hotel while working in a dynamic and collaborative environment. This is a part time role 20-25 hours worked over five days with two full days at month end.
Main Duties:
Audit the hotels daily revenue:
* Performs an audit of the daily night audit ensuring its accuracy and completeness.
* Prepares all necessary daily reports.
* Report discrepancies to departments and resolve in a timely manner.
Accounts Receivable Tasks within the department:
* Process guest invoices and charges from various departments (front desk, restaurant, spa, etc.).
* Apply payments and deposits to guest accounts accurately and efficiently.
* Research and resolve discrepancies in guest bills.
* Prepare and mail invoices and statements to guests and corporate clients.
* Follow up on past-due accounts and collect outstanding payments in a professional and courteous manner.
* Reconcile accounts receivable reports with the general ledger.
* Maintain a clean and organised accounts receivable system.
* Generate reports on accounts receivable activity.
* Assist with month-end closing procedures.
Accounts Payable Task within the department:
* Process vendor invoices accurately and efficiently, verifying coding, approvals, and appropriate documentation.
* Reconcile vendor statements and resolve discrepancies promptly.
* Communicate effectively with vendors and internal departments to address inquiries and resolve issues related to accounts payable.
* Prepare and process weekly payment runs and electronic payments, ensuring adherence to payment terms and schedules.
* Assist in month-end closing procedures and activities, including accruals and reconciliations.
* Maintain organised electronic and physical files for accounts payable documentation in compliance with company policies and procedures.
* Collaborate with the finance team to improve processes and identify opportunities for efficiency gains.
* Assist with other accounting tasks and projects as needed.
* Assists in floats checks as requested and maintains floats.
Daily Tasks:
* Reports over and short deposits and investigates discrepancies.
* Complete cashier over and short book to balance cash over and short with the General Ledger.
Weekly Tasks:
* Liaises with Operations managers to secure weekly coin to Bars, Restaurant.
* Weekly recording and balancing of petty cash.
* Ensures all money and cheques are deposited intact with the bank by a nominated security company.
* Ordering change requirements weekly.
Monthly tasks:
* Reconciles and lodges the Foreign Exchange, if any.
* Performs float counts throughout the Hotel.
* Assists Financial Controller with preparing accounts data for month end reports and reconciliations.
Qualifications:
* Bachelor's degree in Accounting, Finance, or related field preferred.
* Previous experience in accounting roles, preferably in the hospitality industry.
* Proficiency in accounting software and Microsoft Excel.
* Strong attention to detail and accuracy with excellent analytical and problem-solving skills.
* Ability to prioritise tasks and meet deadlines in a fast-paced environment.
* Excellent communication and interpersonal skills, with the ability to collaborate effectively with team members and vendors.
* High level of integrity and discretion in handling confidential information.
* Positive attitude and willingness to learn and adapt to new challenges.
