Officer, Corporate Services – Legal Services
This is an exciting opportunity for an Officer, Corporate Services – Legal Services to join the Corporate Services team.
The role, which reports into the Legal Services Manager, is to support the effective delivery of Legal Services and Legislative Compliance Management across the organisation.
Job Purpose
The Legal Services team within the Corporate Services Division ensure that the organisation has a quality and professional legal advisory service and also ensure the organisation has the appropriate measures in place to demonstrate compliance with a wide range of relevant legislation, with particular attention to GDPR compliance.
Primary Objectives/Key Responsibilities
* Ensure existing processes and procedures are effectively managed, monitored and tracked to ensure organisational compliance with key areas of legislation.
* Monitor and manage data protection policies and procedures, including those relating to Privacy by Design and Data Screener.
* Manage Personal Data Subject Access Requests and Data Breach procedures, prepare submissions to the Data Protection Commissioner as required and maintain related logs.
* Maintain and update registers of data processing (RoPAs) recording data processing across various divisions/business activities.
* Produce senior management compliance reports, including reports for the DPO, Executive Team and Audit, Risk & Registration Committee.
* Liaise with Learning & Development colleagues to ensure effective delivery of staff training on legislative compliance.
* Support the Legal Services Manager in conducting DPIAs and LIAs.
* Manage and update Legal Services Controller/Processing and Data Sharing agreements.
* Work with teams across the organisation to reduce and remove risks from divisional GDPR risk registers.
* Manage Legal Services MyFI content to ensure support information meets organisational needs.
* Effectively manage all Legal Services related queries and issues from staff via the internal Service Desk.
* Stay up-to-date with Legal Services data protection related developments, particularly guidelines from the Data Protection Commission.
* Identify improvements in how Legal Services can be delivered to colleagues and implement service improvements.
* Develop and deliver an annual plan of work (ops plan).
* Provide staff training, briefings and induction on key areas of legislation.
* Identify opportunities for improving how legal services are delivered.
* Escalate high-risk issues to the Legal Services Manager and DPO as necessary.
* Provide administration support for meetings/workshops/events.
* Manage budget and resources, ensuring procurement and purchasing align with Fáilte Ireland policy.
* Generate regular status reports for review by Head of Division.
* Work as part of project teams and manage projects as required.
Contract Management and Budget Management
* Manage 2 external legal service provider contracts, including a tender for Intellectual Property Services in 2025.
* Ensure effective working and reporting with suppliers.
* Establish SLAs and manage service quality.
* Conduct annual reviews in a timely fashion.
Relationship Management
* Establish and maintain effective working relationships with internal colleagues.
* Provide regular detailed reports to stakeholders, including evaluation of work activity.
* Identify and address issues impacting client relationships.
Carry out all other duties as required and participate as a full member of the Corporate Services team by supporting different work projects, as required.
