Job Title: Admin Support Officer
We are partnering with a public sector organisation to recruit a temporary Admin Support Officer to ensure that the day-to-day administrative activities are completed on time and to a high standard of accuracy and quality.
Key Responsibilities:
* Manage the Head of Service's emails and ensure appropriate actions are taken.
* Support the Head of Service in daily activities and administrative tasks, maintaining confidentiality.
* Identify and prioritise urgent matters.
* Manage the diary, schedule appointments, screen calls, handle correspondence, and produce documents.
* Create and maintain confidential investigation files and records.
* Compile, research, and produce reports for various meetings.
* Attend meetings, take minutes, and follow up on actions.
* Provide general secretarial and administrative support to the management team.
* Develop and maintain office systems for file and information management.
* Handle varied administrative duties and enquiries from various stakeholders.
* Develop and maintain an internal system to track work issues and ensure timely resolution of queries and complaints.
* Provide general administrative services, including word processing, spreadsheet and database maintenance, photocopying, scanning, and handling public enquiries.
Requirements:
* A minimum of 5 GCSEs to include English Language and Maths (grade C or above) or equivalent qualifications to demonstrate literacy and numeracy.
* A minimum of one year's administrative experience in a busy office environment, to include:
o Email management and diary management.
o Liaising with a range of contacts and stakeholders and dealing with correspondence and drafting responses.

* Ballymena based.
* Temporary until March 2025.
