Job Description:
An Operations Specialist is a key individual responsible for ensuring smooth, efficient, and effective operations within an organization. This individual will work closely with cross-functional teams to coordinate processes, improve workflows, and manage operational projects to optimize performance and achieve organizational goals.
Key Responsibilities:
* Operations & Strategy:
o Monitor daily operations and assess existing business processes to identify inefficiencies and areas for improvement.
o Develop, build, and implement operational processes and procedures across departments to improve productivity, effectiveness, and alignment with company goals.
o Identify and resolve operational issues promptly, providing support and solutions during emergencies or operational disruptions.
* Project Management:
o Lead, coordinate, and execute operational projects from conception to completion, ensuring they are delivered on time and within scope.
o Track and report on project progress and manage timelines to ensure the successful implementation of operational projects.
* Data Reporting & Analysis:
o Create reports and dashboards to analyze operational data and identify trends.
o Assist leadership in preparing operational reports and strategizing recommendations for continuous improvement.
* Cross-Functional Collaboration:
o Act as a liaison between departments to ensure smooth workflows and seamless collaboration.
o Communicate changes in processes and operational updates to relevant stakeholders.
o Train teams on new procedures, tools, or protocols as needed and provide ongoing operational support to teams and individuals.
* Documentation:
o Manage and maintain SOPs (Standard Operating Procedures) and other documentation for key processes to ensure knowledge is shared across the organization.
o Create how-to guides or FAQs to improve team productivity, automation, and the scalability of internal systems and workflows.
Requirements:
* Bachelor's degree in business administration, operations management, or a related field.
* 2+ years of experience in operations, process improvement, project management, or a similar role.
* Proficiency with operational tools and platforms (e.g., Microsoft Office Suite, Jira, Salesforce).
* Demonstrated success in optimizing operational workflows, pulling and analyzing data for reporting and operational insights.
* Strong analytical skills, excellent organizational and project management skills, strong problem-solving skills, effective communication skills, and adaptability.
