Job Description
MKO is seeking to recruit a Project Administrator to join its Operations team. The successful candidate will be an outgoing, personable individual who thrives in a busy and fast-paced office environment. The ideal candidate would be sharp, self-motivated, and able to help identify improvements and implement efficiencies in areas they are responsible for.
They would have a proven ability to manage their own workload and meet deadlines without supervision. This role requires excellent communication skills, strong attention to detail, and the ability to work collaboratively with various stakeholders. The successful candidate must have excellent IT and computer skills and have a minimum of two years of experience in a similar role.
Main responsibilities include supporting our Project Managers (PMs) with:
1. Ensuring accurate information is recorded including time and project expenses.
2. Support project managers in tracking project progress and performance.
3. Monitoring Work-In-Progress (WIP) and working with project managers to hit financial targets.
4. Liaison between the project managers and the Operations team.
5. Maintain project databases and status reports, providing updates to stakeholders as needed.
6. Oversee the preparation, submission, and tracking of tender documents in response to Requests for Proposals (RFPs) and Invitations to Tender (ITT).
7. Prepare and present reports on tender submissions, outcomes, and areas for improvement to senior management.
8. Participate in staff inductions.
9. KPI reporting.
Requirements:
1. Excellent computer IT skills across a range of software packages and IT platforms (Advanced Excel is a plus).
2. Proven ability to work as part of a team in a busy office environment and work on their own initiative.
3. Have a proven track record in organisational ability.
4. Time management skills are important to provide timely information to project managers and other key stakeholders.
5. Excellent attention to detail.
6. Proactive in approach with a can-do attitude.
7. Excellent communicator with a professional demeanour.
8. Proven experience in tender management or a similar role.
9. A minimum of two years of experience (preferably in professional services).
10. Flexibility to adapt your responsibilities to meet company requirements.
