Position Overview
We are looking for a friendly, organized, and customer-focused Clinic Receptionist to join our team in Dublin. As the first point of contact for patients, the Clinic Receptionist plays a key role in ensuring that our clinics run smoothly, providing excellent customer service and administrative support. This role requires a positive attitude, strong communication skills, and a genuine interest in holistic health.
Key Responsibilities
* Front Desk Management: Greet and welcome patients, ensuring they feel comfortable and valued.
* Appointment Scheduling: Manage patient appointments, ensuring efficient use of time and resources across all treatment areas.
* Phone & Email Communications: Answer phone calls, respond to emails, and address patient inquiries in a timely and professional manner.
* Patient Records: Maintain and update patient records, ensuring confidentiality and compliance with GDPR regulations.
* Billing & Payments: Process payments, issue receipts, and manage insurance claims as required.
* Clinic Organization: Ensure the clinic is tidy and welcoming at all times, including the reception area and waiting rooms.
* Team Support: Assist acupuncturists, massage therapists, and other clinic staff with administrative tasks as needed.
* Promote Services: Provide patients with information on our range of services and therapies and assist in promoting special offers or health programs.
* Other Administrative Duties: Handle general office tasks, such as ordering supplies, managing patient forms, and supporting clinic operations.
Qualifications & Skills
* Experience: Previous experience in a customer-facing role (e.g., receptionist, front desk, or customer service) is preferred. Experience in a healthcare or wellness setting is a plus.
* Communication Skills: Excellent verbal and written communication skills, with a professional and friendly demeanour.
* Organizational Skills: Ability to manage multiple tasks simultaneously and keep the clinic organized.
* Tech Savvy: Comfortable using office software (e.g., Microsoft Office).
* Attention to Detail: Strong attention to detail in managing patient records, scheduling, and handling payments.
* Customer Service: Passionate about providing high-quality customer service and building positive relationships with patients.
* Positive Attitude: Friendly, approachable, and able to work well in a team-oriented environment.
* Language Skills: Fluency in English required; additional language skills are a plus: e.g. Mandarin.
