Position Overview: The Project Administrator will play a pivotal role in supporting the smooth and efficient management of Security Installations project documentation. The position requires an individual with strong organizational and communication skills who can manage the entire document lifecycle, from creation and distribution to security and retrieval. This role is crucial in ensuring that all project-related documents are accurately controlled, distributed, and compliant with both company standards and regulatory requirements. The successful candidate will also be responsible for supporting project administration tasks, facilitating communication between departments, and maintaining comprehensive project records.

Daily Functions
* Updating i-track for project management
* Update daily PO's and Raising Engineer booking forms
* Kit Ordering Assistance
* GRN Process
Weekly/Daily Planning Calls
* ENG Booking Form Reviews
* Updating the booking planner
* Update and Assign works to Engineers
* Issue Weekly Schedule to engineers (Projects and Dayworks)
New Job Booking
* Load Information to ABM system
* Update ABM for finance and Service
* Update Smartsheet's Allocation roster
* Assign new works to Project Management team
* Monitor Daily Goods Received Process
* Updating of Contractual Details
* Supplier setup and follow-ups
Weekly/Daily PM Assistance
* PM Timesheets
* Booking of works
* Engineer allocation and calls raised
* Issuing PO’s and GRN Process
* Weekly Utilization Prep Works
* SharePoint and Smart Sheet Updates
* Hotel Bookings and Expense assistance
* Adding PM hours to ABM works
AD Hock Daily issues raised by PMs And support
* Daily Time Sheet input to ABM
* Updating smart sheet tracers for engineers including lunch allowance and expenses
* Prep for Payroll Monthly
* AD Hoc Daily issues raised by PMs and support.
Job Qualifications & Skills:
* Proven experience in document management or project administration, preferably within the construction or engineering sectors.
* Familiarity with document management software (e.g., SharePoint, ABM, etc.).
* Strong organisational skills with exceptional attention to detail and accuracy.
* Excellent communication and interpersonal skills, with the ability to work collaboratively in a fast-paced environment.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other standard project management tools.
* Understanding of construction and document control regulations would be a plus.
* Ability to multitask, prioritise, and work under tight deadlines.
* Fluency in English, with additional languages (such as German or Spanish) considered an asset.
Qualifications:
* Education in a relevant field.
* Proven experience in project support and leadership support roles.
* Relevant certifications (e.g., PMP) are a plus.
