Senior Administrator
UL Unijobs DAC is currently recruiting a Senior Administrator to work in the University of Limerick.
The ideal candidate will commence ASAP and the contract will be for an initial period of 6 months.
Job Description Key Accountabilities:
* Plan and organise events such as annual review & planning day, office training and workshops, quality reviews etc.
* Coordinate institutional and local office systems, and associated policies and procedures, to include the UL Global Share Point site, Docuware, office data and records files, asset inventories etc.
* Prepare financial/statistical/other reports and summaries for a range of committees and publications.
* Conduct interrogations of relevant systems, e.g. Agresso to ensure that all UL Global activity is conducted in line with guidance and can stand up to audit scrutiny.
* Evaluate and ensure best practice and compliance with Corporate Governance and audit requirements e.g. in relation to overseas payments to suppliers, ensuring the University is not exposed to financial or reputational risk.
Requirements:
* An understanding of the University/third level sector and educational/academic systems, structures, processes and culture.
* Demonstrated knowledge of working within corporate compliance, governance, best practice, and regulation.
* Demonstrated knowledge and awareness of working with different cultures.
* Knowledge of risk analysis and management of risk (desirable).
* High level of proficiency in office collaboration/financial/records systems e.g. MS Office, Agresso, SI (Student Records) etc.
* Ability to learn, adapt, and integrate new systems for individual/office-wide use.
* Excellent written and oral communication skills across all audiences internally and externally to UL.
* Ability to work well individually and as part of wider UL Global and UL groups and teams.
* Ability to prioritise workload, multitask and take initiative using professional, sound judgement.
* Demonstrated high level of attention to detail to maximise accuracy and efficiency in personal assistant, and office administration, output.
Experience:
* Minimum of 3 years' administrative work in a higher education or similar environment.
* Minimum of 3 years' experience working in a busy, customerfacing service environment.
* Proven track record in administration and reporting.
* Experience in quality management systems.
Qualifications:
* Primary degree (level 8 NFQ) or substantial acquired experience in a third level environment.
