Unijobs DAC on behalf of our public sector client is currently recruiting for an Administrative Assistant to be based in Tullamore, Co. Offaly.
The position is full-time, working 35 hours per week and is initially for a 6 month period with the possibility of extension.
The rate of pay is €18.76 per hour.
Job Purpose The purpose of the post is to provide administrative assistance and support to the project lead and the wider team.
Principal Duties and Responsibilities: Organise and manage meetings, including taking and distribution of minutes, Operation of the Office's document management system.
Use of SAP finance for raising Purchase Orders and processing invoices.
Work closely with the communications team on newsletters, general comms etc.
Management of training requests and associated administration required with training.
Dealing appropriately and efficiently with communications, queries, callers or visitors to the office, Manage online room booking system for the office.
Provision of cover to staff colleagues during periods of leave or absence.
Maintain confidentiality and a high level of professionalism, Other duties as assigned.
Eligibility Criteria: Obtained at least grade D (or pass) in Higher or Ordinary Level in five subjects from the approved list of subjects in the Department of Education established Leaving Certificate Examination or Leaving Certificate Vocational Programme or Leaving Certificate Applied.. Or Passed an examination of at least equivalent standard Or Satisfactory relevant experience which encompasses demonstrable equivalent skills And Previous administrative experience of working in a busy office Skills, competencies and/or knowledge: Strong interpersonal skills to facilitate working in multidisciplinary teams, Excellent communication and interpersonal skills with the ability to interact with all levels of the organisation, A strong customer service focus; Can work independently on his or her own initiative and as a member of a team, Efficient use and maintenance of filing and document management systems; Excellent computer skills including Microsoft Word, Excel and Outlook (e-mail), Experience working with SAP An ability to generate and present documents in a professional manner; Ability to manage competing demands and work to strict schedules and deadlines.
