TITLE OF VACANCY:
Event Executive, Abbey Events, 6-month Fixed Term Contract - Dublin (Hybrid)
This position is to support our Events Team with a key focus on a large-scale sporting event.
CORE DUTIES INCLUDE:
* Managing or assisting with managing hotel inventory, ensuring all hotels are updated regularly and in a timely manner and good relationships are maintained
* Contracting, negotiating and booking of transport services for fan packages, airport transfers, evening events, VIP packages and custom groups etc. within required timeframes and budgets thus ensuring an efficient and profitable service
* Contracting, negotiating and booking of guiding services for fan packages and airport transfers
* Assigning transportation suppliers and guides to the various packages, airport transfers, evening events and other segments of the event
* Securing timeslots with visitor attractions and ensuring suppliers are kept up to date at all times
* Assigning of visitor attractions to various packages
* Creating and sending of technical itineraries and vouchers to appropriate suppliers
* Managing and maintaining supplier relationships
* Monitoring & addressing any Quality Control issues with suppliers
* Quote and suggest packages for customized FIT and groups
* Manage or assist onsite and with evening functions held
* Ensure our inhouse systems are kept up to date
* Deal with supplier invoices and financial sign off of event(s)
* Managing and maintaining client relationships
* Close communications and cooperation with the other members of the Events Team
* Attend weekly team meetings to give regular updates
* Onsite Preparations and onsite support as required during event(s)
* Assisting the Abbey Group with its environmental and responsible tourism initiatives
* Any other duties or supporting tasks as assigned from time to time by your Manager
REQUIREMENTS:
* Relevant 3rd level degree in Event Management, Tourism, Business or Languages or relevant experience
* Very good knowledge of MS Office
* Good knowledge of the Irish tourism industry products
* Excellent organisational skills and attention to detail
* Excellent administration skills, negotiation and communication skills
* Team player able to work in a busy environment and meet deadlines
* Fluency in English (spoken & written)
* Knowledge of the system Tourplan a distinct advantage
* Contracting experience beneficial
