Job Summary:
Griffith College is a leading educational institution supporting nearly 250 professional and academic programmes across multiple campuses and online. To enhance our operational efficiency and ensure regulatory compliance, we are centralising the Programme Management function. This strategic move aims to improve data quality, streamline processes, and strengthen governance across the college.
Role Purpose: The Programme Management Officer will be responsible for the centralised management of programme data, programme analysis and programme offerings management across the college. This role will ensure the integrity, accuracy, and compliance of all programme-related information, supporting the college's growth and reputation.
Job Responsibilities
Governance and Compliance:
Collaborate with stakeholders to identify governance policies and ensure consistent application of procedures for Programme Management and programme offerings.
Ensure compliance with regulatory requirements and industry standards, such as QQI rules.
Provide guidance and support to staff on adherence to governance guidelines.
Programme Management and Versions:
Establish governance mechanisms to oversee changes to programme data, including the review and approval of change requests.
Develop and maintain a standardised system process for programme creation.
Act as a central point of contact for stakeholders involved in programme creation, facilitating collaboration and ensuring timely contributions.
Conduct regular reviews and quality checks to verify the accuracy and completeness of programme data.
Coordinate comprehensive end-to-end validation of newly created programmes to identify and address issues or discrepancies.
Programme Offerings:
Manage programme offerings across multiple academic calendars.
Create and maintain accurate and up-to-date data on information on programme offerings, ensuring alignment with college decisions.
Liaise with relevant personnel to ensure accurate and timely reflection of programme offerings on the website course pages and application forms.
Conduct regular reviews and audits of programme offerings to identify discrepancies or inconsistencies and take corrective actions as needed.
Collaborate with student fees team to ensure that programme offerings have accurate fee structures and billing processes.
Support and Coordination:
Establish mechanisms for on-demand support to address urgent issues or queries related to programme information and offerings.
Identify and document effective practices, challenges, and potential future enhancements to streamline workflows and improve operational efficiencies to support scalability and agility of the organisation.
Provide process support to staff members and subject matter experts.
Facilitate collaboration between stakeholders to address issues, resolve conflicts, and implement improvements in programme offerings.
Data Management, Analysis and Quality:
Oversee the integrity and long-term accuracy of programme data within the College.
Implement data verification processes to ensure high-quality data entry (garbage in, garbage out).
Collaborate with stakeholders to identify and resolve data quality issues.
Create annual and programme analysis reports in collaboration with faculties and support departments.
Qualifications and Experience:
Proven experience in programme management, data governance, or a related role.
Strong understanding of regulatory requirements and industry standards (e.g., QQI).
Excellent organisational, analytical, and problem-solving skills.
Strong interpersonal and communication skills, with the ability to collaborate effectively with diverse stakeholders.
Experience with Student Information Systems is highly desirable.
