Executive Assistant / Project Manager
Location: Donabate, Co. Dublin
Salary: €50,000 - €60,000
We are seeking a proactive and highly organized Executive Assistant with Project Management experience to provide a broad range of strategic and tactical administrative support. This pivotal role involves ensuring smooth operations at the Director level by managing a diverse range of responsibilities with efficiency, professionalism, and discretion.
The ideal candidate will thrive in a fast-paced environment, excel in multitasking, and maintain the highest level of confidentiality and attention to detail.
Key Responsibilities
* Manage the Executive Director’s schedule, including coordinating meetings, appointments, and travel arrangements.
* Perform tasks such as calendar management, preparation of internal/external correspondence, visitor screening, and creating presentation materials.
* Act as a liaison between the Executive Director and internal departments, external partners, and clients.
* Handle sensitive information with the utmost discretion and confidentiality.
* Manage correspondence and communications on behalf of the Executive Director.
* Prepare and coordinate reports, presentations, and analyses.
* Take a proactive approach to handling tasks, ensuring projects are followed through to completion.
* Provide continuous support aligned with the Executive Director’s daily schedule and obligations.
* Coordinate and track key initiatives and projects, including event management from conception to completion.
* Represent the Executive Director in interactions with internal and external stakeholders.

* Experience supporting at the Director level, with a deep understanding of appropriate protocols and expectations.
* Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook).
* Ability to maintain confidentiality and handle sensitive matters with the utmost professionalism.
* Flexibility to work under time constraints and availability as needed.
