Administrative Co-ordinator
This role will report to the Executive Assistant of VP Site Operations.
The role holder will provide effective and efficient support to the site leadership team (SLT) including diary management within a fast paced and rapidly changing environment, executive communications, travel arrangements and other tasks that will be assigned from time to time.
The key responsibilities include but are not limited to:
Providing Admin support to the SLT, scheduling and management of appointments and meetings within a rapidly changing environment.Provide high quality executive admin support, including generation of presentations, management of various SharePoint sites and other management systems and tools.Liaise with Stakeholders across the ADL site and wider Amgen network, including members of the ADL SLT and also the OLT within the Ops Network.Supports with internal and external communication (such as updates, announcements, releases, presentations, site standards and governance), using diverse Amgen channels and technology.Diary management and organisation of travel arrangements.Financial Administration (purchase orders, invoices, expenses).Production of weekly cascade communication for ADL site.Support Senior Leadership site visits.Ensure a consistent and proactive approach to supporting designated Senior Leaders across the site through the wider AC team.Key Attributes
• Strong verbal and written communication skills with a strong attention to detail.
• Excellent literacy and numeracy skills with a strong attention to detail.
• Competent in MS office tools (Word, Outlook, PowerPoint & Excel).
• Demonstrated ability in the use of IT systems and packages, including Concur, SAP, Ariba, Softworks.
• Very experienced in organising meetings & events, managing multiple stakeholders and priorities at any one time.
• Experience of External stakeholder engagement.
• Leadership and coaching.
• Capable of working on own initiative and being proactive when taking on duties and tasks.
• Be capable of working on their own and as part of a team, while exercising a high level of judgement, confidentiality and discretion at all times.
• Task Prioritisation – proactively manage competing priorities in a fast-paced environment.
Experience
Experience in a similar role (1-2 years minimum).
Exceptional attention to detail and accuracy.
Strong organisational and time management skills.
Ability to handle confidential information with professionalism.
Excellent communication and interpersonal skills.
