Job Title: Asset Administrator
Location: Dublin
Job Purpose:
Reporting to the Ireland Fleet Manager and working as a key part of the team being responsible for fleet utilisation and optimisation, fleet administration, vehicle data accuracy, VRT, and vehicle taxation. Attention to detail and a high degree of numeracy is critical, as are strong planning and organisational skills.
Key Responsibilities:
* Ensure timely receipt of new vehicles onto the fleet
* Ensure timely ordering of new vehicle orders placed (both stock and customer)
* Ensure accuracy of vehicle order updates for sales
* Timely completion of internal Fleet Audits
* Preparation of paperwork and distribution of new vehicle tax discs
* Arrange semi-cap for new vehicles
* Pricing non-core vehicles
* Maintaining accurate files and logs for the Asset Department
* Preparation and distribution of biweekly de-fleet plan
* Adding and updating information and pricing on the company operating system
* Ensure accuracy of vehicle asset data & accuracy of location of fleet
* Managing the fleet induction to on hire date
* Build partnerships and work collaboratively with other internal department functions
* Effectively communicate; generate professional written material and deliver valuable verbal presentations
* Assist in managing the organisation’s fleet management process, including acquisition, utilisation and replacement of fleet.
* Compile and present asset management reports
* Coordinate work with external third parties, manufacturers, and suppliers and maintain positive relationships
* Prepare business activity reports and forecasts
* Find ways to reduce costs
* Ad hoc duties that contribute to team goals
Key Skills & Experience:
* Excellent knowledge of all MS Office systems and functions ie Outlook, Excel, Word and other PC based systems
* Strong planning and organizational skills
* Strong attention to detail & a desire to get things right first time
* High degree of numeracy
* Proven ability to multitask and work on own initiative
* Strong Customer focus and the ability to work with internal and external stakeholders
* the ability to juggle multiple tasks, work under pressure and meet deadlines.
* Competent to work independently, take initiative, set priorities, and see projects through to completion.
* Demonstrate interpersonal and presentation skills for frequent contact with clients and co-workers
* Highly developed problem solving, analytical, and decision-making skills
* Demonstrate a positive attitude, integrity and social/cultural awareness
* Fleet & Vehicle knowledge preferred
* Knowledge of Vehicle taxation preferred
* Degree in business, management, accounting, facilities or fleet management, or related field
* Experience managing capital assets e.g., fleet /equipment/ facilities or equivalent etc. or mix of education and experience to meet the essential functions of the position.
